JOB PURPOSE: To assist the Pastor in his duty of exercising the kingly office of Jesus Christ for both the spiritual and temporal good of the Church. Principally, the Business Administrator is responsible for the fiduciary responsibilities of the parish, but also manages the human resources components of the parish in accord with all applicable civil and ecclesiastical law requirements. The Business Administrator assists in the strategic vision of the parish and helps martial the temporal goods at the service of the spiritual goods of the parish. All activities shall support the mission and philosophy of Transfiguration Church of Oakdale, Minnesota:

STATEMENT ON WORKING FOR THE CATHOLIC CHURCH: Employment in and by the Church is substantially different from secular employment. Church employees must conduct themselves in a manner which is consistent with and supportive of the mission and purpose of the Church. Their public behavior must not violate the faith, morals or laws of the Church or the Archdiocese of St. Paul and Minneapolis, nor can it embarrass the Church or give rise to scandal. It is required that this employee be an active, participating Roman Catholic. It is expected that all employees respect Catholic doctrine and religious practices.
REPRESENTATIVE RESPONSIBILITIES:
Note: The following responsibilities, 1 through 4, are essential responsibilities.
- Finances
- Serve as the primary resource for budgeting and financial functions, policies, and procedures to ensure efficiency across the organization and adherence to established policies and procedures.
- Maintain financial systems and strong internal controls.
- Oversee cash receipts, payables, banking, payroll, and financial reporting. Maintain restricted funds and endowment funds.
- Ensure compliance with annual Archdiocesan reporting and financial policies. Comply with the Archdiocesan proxy request policy for applicable purchases, projects, and transactions.
- Develop and manage the annual parish budget under the direction of the Pastor and consultation of the Finance Council.
- Provide support to the School Principal in the parochial school’s financial matters. Serve as a resource to the Principal for the proper management of the school.
- Assist the Pastor, Corporate Board, and Finance Council in financial modeling for future plans for the parish.
- Ensure all parish staff are informed of the financial status of their programs as needed. Supervise those staff members with explicit roles in bookkeeping and financial management.
- Maintain a Catholic understanding of fiscal responsibilities and opportunities. Help determine if financial investments, planning, and execution are in accord with the values of the Catholic Church.
- Human Resources
- Assist Pastor and School Principal, as directed, in the recruitment, training, supervision, hiring, discipline, and termination of employees.
- Maintain job descriptions for all positions. School positions are to be kept separate from church positions, but all are to be properly accounted for by the Business Administrator.
- Maintain and update Transfiguration Employee Handbook and policies in accordance with Archdiocesan policies, as well as applicable civil and ecclesiastical laws.
- Prepare required paperwork for new employees and assist in onboarding them and setting them up in payroll. Provide orientation for direct reports.
- Provide information and documents for benefit eligible employees. Manage annual benefit re-enrollment and assist employees throughout the year with benefit questions and adjustments.
- Assist with performance issues, disciplinary actions, and performance plans to ensure that personnel policies are followed and that proper documentation is completed.
- Manage payroll and ensure that compensation is properly distributed to employees in accordance with an agreed upon salary/wage scale.
- Physical Plant
- Under direction of Pastor, assist and supervise maintenance staff in the successful implementation of their work. Ensure they have the materials needed for their work and offer financial perspective of tending to the care of the physical plant.
- Assign keys and access fobs/cards. Maintain a master log of all individuals who have access to the building and compliance with safety protocols.
- Maintain healthy contact with vendors for the parish’s operations and regularly evaluate the quality of their work in consultation with the maintenance staff.
- Possess a working knowledge of the facilities to help provide vendors, staff, and parishioners with information necessary to ensure the successful operation of the parish’s mission.
- Oversee risk management and insurance compliance in collaboration with Catholic Mutual. Ensure that all contracts are reviewed and approved by Catholic Mutual and maintain a record of all contracts in accord with record keeping policies.
- Information Technology (IT) and Communications Systems
- Oversee shared systems in the building to ensure that they meet the needs of all parish programs. This includes Internet, security, phones, email, etc.
- In collaboration with Pastor, evaluate the necessary vendors to assist in the safe and efficient management of the parish’s IT needs.
- Personal Growth and Other Responsibilities
- Participate in Archdiocesan programming and other opportunities for professional growth.
- Collaborate with neighboring parishes to find ways in which Transfiguration can participate in the overall good of the Archdiocese.
- Perform other responsibilities identified as needed by the employee and approved or assigned by the Pastor.
Qualifications
Qualifications:
- Must be a practicing Catholic in good standing with a love for the Catholic faith and passion for bringing others into the life of the faith in the Catholic Church.
- A commitment to and understanding of the Catholic Church and of the mission and vision of Transfiguration.
- Ability and willingness to work collaboratively with staff, ministry leaders, volunteers, parishioners, and visitors to implement the Pastor’s vision for evangelization. This includes the ability to manage multiple projects, the ability to think strategically, and to adapt behavior and work in response to new people and new information.
- Ability to communicate positively and effectively with Transfiguration parishioners, leadership, administration, and the broader community.
- Possess a high level of initiative and flexibility in completing work.
- Successfully complete the Essential Three requirements—Virtus training, background check, and Code of Conduct.
- Computer skills that include the use of Microsoft products, email, internet-based programs, and ParishSOFT (as well as others that may arise to successfully perform duties).
Education and Experience:
- Bachelor’s degree in business administration, accounting, or related field required.
- Work experience in financial, human resources, or property management required.
- Experience working in a Catholic organization is preferred.
Mental & Physical Demands:
- Ability to plan, organize, meet deadlines, and manage multiple tasks and responsibilities.
- Possess a clear understanding of the English language. Able to speak and write effectively.
- Work 40+ hours per week, including participating in occasional evening and weekend meetings or events.
- Able to sit or stand for long periods of time.
- Able to lift up to 50 lbs. (Books, office materials, equipment) using proper techniques.
- Able to operate keyboard in safe and proficient manner.
