Description

Position Summary:   The person in this position has the primary responsibility for managing the Totus Tuus program throughout the Archdiocese.

Essential Functions of the Position: Manages the Totus Tuus program comprehensively from start to finish on an annual basis.  This include:

  • Prepare a proforma budget for the upcoming year
    • Estimate number of participating parishes
    • Estimate number of missionaries
    • Determine cost to hire, train and total price of program
    • Secure other Minnesota Dioceses for Training Week
    • Communicate to director and get approval
  • Organize Parish Logistics
    • Market program to parishes
      • Maintains a working knowledge of the structural and mission systems of the Catholic parishes so as to be able to build upon when marketing Totus Tuus
      • Create and supply pertinent marketing and sales information
      • Present to new parishes the benefits and logistics of the program
      • Secure registration and follow up on outstanding balances
    • Conduct information-orientation session for new/existing parishes
    • Prepare all promotional materials for parish registration: parish brochure, flyer, bulletin announcements, plus yearly logo
    • Create a Microsoft Team accounts and upload all necessary documents for parish use
    • Assist participating parishes
      • Schedule dates for summer
      • Support during program
        • Visit parishes weekly
        • Communicate with parish coordinator /DRE as questions arise or as needed
      • Prepare and deliver invoices for the yearly services/Ensures payment are received
    • Missionary Recruitment & Management
    • Recruit college age men/women to fulfill obligation to parishes
      • Conduct recruiting session on college campuses
      • Advertise in pertinent media to attract candidates, such as: the Archdiocesan Careers page, the Catholic Spirit the Rediscover Hour, local college campuses and local bookstores
      • Sets annual stipends for missionaries according to minimum wage and duties
      • Collaborate with Vocations Director
      • Interview hire, train, and supervise missionaries (quantity of 26 in fiscal year 2025) during summer employment at this time
      • Selects teams and place in parishes/weekly parish schedules
      • Coach, reward and discipline team missionaries as needed
      • Plans and host the End of the Year Team Retreat for the missionaries which helps them discern their future vocations
      • Ensure all HR requirements are complete plus the Essential Three
      • Documents compliance with Catholic Mutual regulations
      • Secure Spiritual Mentors for each team(s)
    • Training week - Plans and executes
      • Obtain and secure venue, housing and food for week
      • Create curriculum materials and all other materials to support the teams
      • Plan schedules; classroom time, liturgical aspects
      • Secure speakers and facilitators for the week
      • Discuss and negotiate other Minnesota Dioceses
      • Invoice for training services
      • Create and print additional training manuals, coloring/activity books, tub binders
      • Train additional missionaries (quantity of 26 in 2025)
      • Approve and submits expenses
    • Collaborate with Totus Tuus Chaplain
    • Regular Connection with Totus Tuus Advisor during the 2026-2027 fiscal year to ensure transition of institutional knowledge to help continuity during time of transition.
    • Set and attain strategic goals for growth and improvement
    • Assists with other initiatives in the Department of Youth & Young Adult Discipleship
    • Foster and maintain ongoing relationships with Parish Coordinators, Youth Directors, and Faith Formation Coordinators
    • Works on other projects assigned by the Director

Qualifications

Job Requirements (Knowledge, Skills and Abilities):

  • Must be a practicing Catholic who possesses thorough knowledge of and respect for Catholic Church teachings and has a faithful personal prayer life;
  • Excellent communication skills both verbal and written;
  • Ability to exercise discretion, good judgment and initiative;
  • Demonstrated proficiency with MS Office;
  • Ability to prioritize, multi-task and meet deadlines with minimal supervision;
  • Diplomatic, tactful and discreet especially when dealing with confidential matters;
  • Ability to work in collaboration with others;
  • Must be available to work occasional weekends and some evenings.
  • Strong interpersonal skills.

Job Qualifications: (Education and Experience):

  • A. degree, Theology education or related field;
  • Three to five years’ experience in a parish or youth setting.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
