Description
The Opportunity:
The Gifts & Finance Coordinator is an entry-level, detail-oriented, and highly organized role responsible for managing gift processing and donor records while supporting day-to-day accounting functions such as bill pay and transaction entry in QuickBooks Online. The ideal candidate has strong organizational and analytical skills and a commitment to serving our faithful and generous donors with accuracy, professionalism, and care.
Responsibilities
Gift Operations (50%)
- Serve as a primary point of contact for donors by answering Gift Operations phone calls and emails, and responding to inquiries with professionalism, warmth, and timely follow-up.
- Route donor questions received via phone, mail, or shared inboxes to the appropriate staff member and ensure all inquiries are resolved on a timely basis.
- Enter and process contributions in the donor database and assist with routine gift processing tasks
- Assist with the preparation and distribution of donor communications, including acknowledgement letters, appeals, stewardship mailings, campaign materials, and new donor packets
- Maintain and track returned mail, and support routine donor database updates and cleanup projects
- Assist with organizing and filing documents tied to donations and pledges.
- Provide administrative support to other departments as needed to ensure accurate and timely handling of contributions and donor records.
- Other duties as assigned to assist the Finance & Administration team.
Finance (50%)
- Perform routine bookkeeping, including entry of bank activity, recording transactions, and maintaining accurate financial records in QuickBooks Online
- Manage accounts payable processes, including monitoring the Finance inbox, preparing check requests, scheduling payments, and remitting online payments for rent, retreats, utilities, insurance, credit cards, property taxes, and other vendor invoices
- Prepare and mail paper checks as needed and maintain supporting documentation for all disbursements
- Assist with monthly invoicing, including preparation and tracking of institutional invoices and follow-up on outstanding balances
- Support month-end reporting by organizing documentation and ensuring transactions are recorded accurately and in a timely manner.

Education/Experience:
Minimum of a two-year degree; a Bachelor’s degree or equivalent is preferred.
Other Knowledge, Skills, and Other Abilities:
- Prior significant experience with SPO charism and key mission elements strongly preferred
- Experience with bookkeeping or basic accounting functions, including accounts payable, bill pay, or transaction entry, preferred
- Experience working with donor databases, CRM systems, or financial software (Raiser's Edge, or similar) preferred
- Strong attention to detail and ability to maintain accurate records
- Highly organized with the ability to manage multiple tasks and follow through on assignments
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
- Commitment to serving donors, staff, and missionaries with professionalism, courtesy, and responsiveness
