Description

Position Summary:

The person in this position provides administrative services and support which relieve the offices of daily routine details and assist them in the overall function of their offices.  This person provides administrative support not only to Financial Standards Parish Accounting but also to the initiatives of the Office of Finance.

Essential Functions of the Position:

  • Performs a variety of general office administrative duties, both efficiently and accurately;
  • Maintains calendar and scheduling for meetings between departments, other calendaring and scheduling as communicated by the director;
  • Maintains and organizes event documentation for Annual programs, such as Standards in Church Ministry, Parish Administration Orientation, Priest Finance Day and more. This includes reviewing preparing agendas, minutes of meetings, coordinating schedules and calendaring events with Office of Communications.
  • Monitors and manages workflow to ensure timely follow-up on correspondence and emails;
  • Receives, sorts and screens mail and correspondence to the Director/PASC Manager from all sources.
  • Serves as backup for Office of Finance, as time or schedule allows
  • Maintains supplies for the department;
  • Maintains files of the Director and PASC Manager as directed
  • Other related duties assigned.

Qualifications

Job Requirements (Knowledge, Skills and Abilities):

  • Excellent communication skills both verbal and written;
  • Knowledge and understanding of the Roman Catholic Church, its structure and the ministries within the Offices of the Catholic Center;
  • Ability to exercise discretion, good judgment and initiative;
  • Demonstrated proficiency with MS Office, Word, Excel and Power Point with the ability to learn new or updated software;
  • Ability to prioritize, multi-task and meet deadlines with minimal supervision;
  • Diplomatic, tactful and discreet especially when dealing with confidential matters;
  • Ability to work in collaboration with others;
  • Ability to communicate effectively over the phone and strong interpersonal skills.

 Job Qualifications: (Education and Experience):

  • High School diploma;
  • Three to five years of administrative assistant or general office experience

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Be present and work onsite at Archdiocesan Catholic Center.
