Description
St. John's School of Little Canada is seeking a dynamic and highly organized Administrative Assistant to streamline daily operations and work collaboratively alongside our Office Administrator
Full-Time, 8:30 am–3:30 pm, 30 min unpaid lunch break, approximately 6.5 hours per day, 168 school days and non-school days as needed. 32 hours per week, August 15-June 15 and as needed June 16-August 14. Benefit eligible.
ENROLLMENT:
* Set up annual enrollment.
* Maintaining enrollment information.
* Help families with enrollment.
* Create enrollment reports for various staff.
STUDENT INFORMATION SYSTEM:
* Set up and close out student information system on an annual basis.
* Maintain system information and assist teachers to finalize report cards.
* Create reports related to student information for various staff.
FINANCIAL AID:
* Set up a Financial Aid program for each new school year.
* Maintain a spreadsheet to track aid.
* Work with families and TADS to complete applications.
* Work with Budget Audit committee and School Office on financial aid tracking and
notifications.
LUNCH PROGRAM:
* Process Educational Benefits, Direct Certification, and Verification annually.
* Create lunch lists for staff.
* Miscellaneous admin duties for lunch program.
ADMINISTRATION:
* Create and input student rosters into testing sites.
* Create school year calendar and schedule facilities, update as needed.
* Set up SignUpGenius for school conference sign-ups.
* Update staff bios on school website and other pages as needed.
* Track and submit report for preschool immunizations.
COMMUNICATION:
* Communicate as necessary with the principal.
* Proficient in Microsoft Word, Excel.
* Develop and maintain proficiency in Canva, Google Drive, (Docs, Forms and
Sheets).
* Develop and maintain proficiency in SignUpGenius.
NURSES OFFICE SUPPORT – BACKUP AS NEEDED:
* Receive training and administer minor first aid to students.
* Record ailments in the first report of the injury book.
* Distributes meds as directed by student’s doctor’s orders.
* Supervisor and anyone caring for the child must fill out injury report.
* Check temperature of ill students, contract parents/guardians as needed.
OTHER:
* Attend staff meetings or events as requested by the principal.
* Follows proper internal financial controls for all cash handling.
Qualifications
QUALIFICATIONS:
Bachelor’s degree in business administration or related field preferred
Two plus years of experience in office management preferred
Demonstrated ability to motivate and develop students
Commitment to the mission of St. John the Evangelist Church and School
Pass Archdiocesan background check and complete VIRTUS
Proficiently operate a computer, printer and other office equipment
Enthusiastic leader with a positive attitude
