The American College of Pediatricians (ACPeds) is a national medical association of licensed physicians and healthcare professionals who specialize in the care of infants, children, and adolescents. It was founded by a group of concerned physicians who saw the need for a pediatric organization that would not be influenced by the politically-driven pronouncements of the day. Job Title: Administrative Assistant (Remote / Work from Home)

Position Summary:

The American College of Pediatricians (ACPeds) is seeking a detail-oriented and organized Administrative Assistant to support our Advancement Director and Membership Coordinator. This remote position plays an important role in ensuring smooth daily operations by assisting with administrative projects, data management, member support, survey creation, and general office tasks. Key Responsibilities:

  • Provide administrative support to the Advancement Director and Membership Coordinator.
  • Assist with data entry, tracking, and reporting using Charityproud and Google Excel.
  • Assist with the preparation of a Letter of Interest (LOI) for prospective foundation funding. 
  • Create, distribute, and compile surveys for members, donors, or internal needs.
  • Maintain accurate records and update databases as needed.
  • Support membership and donor communication through email and other virtual channels.
  • Prepare documents, spreadsheets, and presentations.
  • Schedule meetings, coordinate calendars, and assist with follow-up tasks.
  • Handle routine clerical and administrative duties.
  • Complete additional tasks and special projects as assigned.
  • Physical mail processing/ check deposits
  • Demonstrates a strong ability to process, handle, and maintain confidential information with the utmost discretion. This includes sensitive data related to donors, members, and organizational operations. Ensures that all information is managed in compliance with privacy laws and organizational policies to protect the integrity and trust of our stakeholders.

Qualifications

  • High School Diploma or GED preferred
  • At least one year of administrative assistant, office support, or related experience preferred.
  • Proficiency in Google Suite and general computer applications.
  • Experience with Charityproud or similar CRM/database systems preferred.
  • Proficient in Mac based software
  • Strong organizational skills with excellent attention to detail.
  • Ability to create surveys using online tools such as SurveyMonkey, Google Forms, or similar platforms.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a remote environment and meet deadlines.
  • Professional, reliable, adaptable, and team oriented mindset.

Work Environment:

  • Flexible schedule based on organizational needs.

Preferred Skills:

  • Nonprofit or membership organization experience.
  • Familiarity with donor/member databases and reporting tools.
  • Strong customer service mindset.
