Description
Position Description: Parish Administrator
Reports to: Pastor
Provides work direction to: Parish staff members and volunteers in areas of finance, policy, human resources, development, building and grounds, and other as assigned by the pastor
Hours: Non-Exempt, Part-time (20-25 hrs)
Job Purpose: Support the ministry of the pastor and parish by overseeing the administration of the parish to ensure its congruency with the parish’s mission and the pastor’s stated intentions. Oversees the financial processes for the parish, ensures a safe environment for all staff and parishioners, and manages office and employment procedures for the parish in a manner that supports the work of the pastor and enables all parish ministries to function effectively.
Job Responsibilities
- Relationship with Pastor
- Recognizes and respects the ultimate authority of the pastor who delegates and encourages independent decision-making and action when appropriate.
- Reports directly to the pastor on a regular basis regarding parish finances, staff, operations and safe environments.
- Provide advice, feedback and support to the pastor, acting as a resource on matters relating to all parish operations.
- Carries out special projects and other assignments as requested by the pastor.
- Financial Duties
- Develop annual budget and work with the pastor, staff, trustees, Finance Council and Parish Council to monitor the annual budget with the goal that the parish operates on a balanced budget.
- Regularly update the pastor, Trustees and Finance Council on current financial position and progress toward a balanced budget.
- Oversee the day-to-day financial operations of the parish including the accounting system, receivables, payables, checkbooks, savings and investments.
- Work with accounting firm to ensure all bills are paid in a timely manner.
- Work with accounting firm to oversee accurate counting of contributions and bank deposits.
- Organize and oversee parish fundraisers.
- Serve as liaison to the Archdiocese providing required annual financial reports.
- Initiate financial audit, as required by Archdiocese
- Administrative Duties
- Respond to any legal or insurance matters. Assist staff on these matters.
- Oversee the purchase and maintenance of all equipment.
- Negotiate and review all service contracts.
- Attend all required workshops offered by the Archdiocese relating to finances, insurance, building safety, personnel and legal matters.
- Oversee hiring process, training, periodic evaluations of office support and maintenance and custodial personnel
- Ensure that appropriate staff is trained in use of all required software programs
- Human Resources
- Work with Lighthouse Strategic Solutions to process all payroll including documentation and tracking of staff vacation and sick leave.
- Implement mandatory Federal, State and Church laws and policies that affect moral and ethical personnel standards. Ensure compliance with these laws and policies in all programs.
- Maintain Parish Personnel Handbook and update Handbook when required by Archdiocese. Review all parish polices with staff.
- Keep accurate and current personnel files.
- Manage insurance and benefit offerings.
- Prepare insurance, Archdiocesan and/or Federal reports as needed or requested.
- Manage new employee search process as requested by pastor.
- Provide advice, feedback to pastor on personnel matters.
- Onboard new employees.
- Prepare and conduct annual reviews for all employees in conjunction with the Pastor
- Facilities
- Work with Pastor, Trustees, Pastoral Council and Finance Council to develop a long-range capital improvement plan.
- Ensure compliance with all rental agreements.
- Serve as liaison to organizations using parish facilities to ensure necessary insurance is in secured.
- Monitor and work with maintenance personnel to ensure the safety, cleanliness and upkeep of all parish properties.
- Manage major repair efforts in consultation with maintenance personnel and Building and Grounds personnel, negotiating and completing Requests for Proposals and/or bids, when needed.
- Work with maintenance staff and Building and Grounds personnel to determine and follow through on special maintenance projects.
- Develop and monitor building security program including distribution of parish keys and controls.
Qualifications
College Graduate with degree in Business Administration, Accounting, or Finance or equivalent work experience is preferred.
Active Catholic
Prior experience in parish administration preferred.
Experience in financial management, property management and human resources is preferred.
Ability to learn and use ParishSoft program.
Must work collaboratively, willing to assist other staff members with their responsibilities as needed.
Must pass a criminal background check.
