Description

The Advancement Director (11 month position) serves as a welcoming and professional presence in the school office, supporting students, families, faculty, and administration. This position oversees enrollment processes for preschool through sixth grade in collaboration with school administrators while leading efforts to promote and advance the mission of Good Shepherd Catholic School. The Director of Advancement manages student information systems and tuition management platforms, coordinates and creates school communications and materials for students and staff, and assists with the day-to-day operations of the school.

The ideal candidate has a strong desire to work in a school setting and is passionate about serving students, supporting parents, and partnering with teachers and staff to foster a welcoming, faith-filled, and student-centered environment.

Primary Responsibilities

Enrollment & Admissions

  • Manage the student enrollment and re-enrollment process from inquiry through registration and tuition setup.
  • Assist prospective and current families with admissions paperwork, applications, and required documentation.
  • Maintain accurate enrollment records and communicate important deadlines to families.
  • Communicate regularly with the Business Coordinator, Preschool Director, and School Administration regarding enrollment and retention.

Student Information & Tuition Management

  • Help maintain accurate student records, attendance information, and family data.
  • Help manage tuition accounts, including account setup, updates, and assisting families with questions regarding billing and payments.
  • Generate reports and ensure data integrity across school management platforms.
  • Help generate forms and registrations for activities.
  • Work closely with the Business Director and administration team with finances and fundraising through the year in regards to the whole campus and individual student needs.

Communication & School Advancement

  • Provide a warm, kind, and welcoming presence in the front office for all visitors, students, and families.
  • Answer phone calls, emails, and inquiries promptly and professionally.
  • Coordinate school communications, newsletters, announcements, and correspondence to families and staff.
  • Support school marketing, recruitment, and retention efforts that promote the mission and growth of Good Shepherd Catholic School.
  • Assist with events and initiatives that strengthen community engagement and foster positive relationships with current and prospective families.

Materials & Resource Management

  • Coordinate the ordering and inventory of office, classroom, and school supplies.
  • Work with vendors to ensure timely ordering and delivery of materials and resources needed for school operations.

Support for Families & Staff

  • Serve as a resource for parents by answering questions and directing inquiries appropriately.
  • Be able to help cover other duties as needed throughout the school, especially in the front office.
  • Collaborate closely with the principal and school leadership team to ensure efficient school operations and exceptional customer service.
  • Build positive relationships with students, families, and staff, creating an environment that is welcoming, responsive, and centered on student success.

Qualifications

Qualifications

  • Strong organizational and multitasking skills with excellent attention to detail.
  • Preferred experience working in a Catholic school or parish. 
  • Proficiency with technology and electronic platforms/data bases, and the ability to learn and manage student information systems and tuition management systems.
  • Excellent verbal and written communication skills.
  • Demonstrated customer service skills and a friendly, welcoming demeanor.
  • Ability to maintain strict confidentiality and exercise professionalism in all interactions.
  • Commitment to supporting the mission and values of Catholic education.
