Description
Saint Joseph Catholic Church is seeking a highly organized, discreet, and compassionate individual to serve as a part-time Executive Assistant to the Pastor. This role supports the Pastor in managing daily administrative responsibilities, including email and phone communication, calendar coordination, correspondence, and logistical planning. The ideal candidate is a highly professional communicator with a deep respect for the mission of the Catholic Church and the pastoral sensitivities of parish life. In addition to supporting the Pastor, this role may also assist the Parish Administrator with sensitive tasks and other administrative needs, as time allows.

We are fortunate to have one of the largest and most established Catechesis of the Good Shepherd (CGS) programs in the Archdiocese, fully-integrated within our school’s PreK-to-5th-Grade program.

We currently serve more than 400 K-8 students and nearly 70 preschoolers.
Essential Responsibilities:
- Calendar and Scheduling Support - Coordinate and manage the Pastor’s calendar, including liturgical events, meetings, appointments, and pastoral visits. Anticipate and resolve scheduling conflicts with discretion and efficiency.
- Communications Management - Monitor and manage the Pastor’s email and phone calls, prioritizing messages and responding on behalf of the Pastor when appropriate. Ensure communications are timely, respectful, and pastorally sensitive.
- Correspondence and Documentation - Draft, format, and proofread emails, letters, announcements, and other communications. Maintain appropriate tone and confidentiality in all written materials.
- Administrative and Clerical Support - Organize files, maintain records, coordinate materials for homilies or public events, and manage general office needs.
- Point of Contact - Serve as a liaison between the Pastor and parishioners, staff, diocesan offices, and community contacts. Represent the Pastor with warmth, professionalism, and respect.
- Confidentiality and Discretion - Handle sensitive information, including pastoral matters and personnel-related content, with the highest degree of confidentiality and integrity.
- Support for Parish Administrator - Assist the Parish Administrator, as time permits, with HR-sensitive administrative tasks, filing, data entry, and other special projects or office support needs.
Qualifications
Qualifications:
- Practicing faithful Catholic in full communion with the Church.
- A strong understanding of, commitment to, and passion for the mission of the Catholic Church and Catholic education as defined by the Church is required.
- Prior experience as an executive assistant or administrative professional in a pastoral or nonprofit setting is preferred.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- High level of discretion, integrity, and emotional intelligence.
- Ability to prioritize tasks and manage time effectively with limited supervision.
- Proficiency in Microsoft Office, Google Workspace, and other common administrative tools.
- Understanding of or familiarity with Catholic faith, liturgical calendar, and parish life is strongly preferred.
