Description

The Diocese of Crookston is seeking a highly organized, detail-oriented professional with to serve as a full-time Executive Scheduling & Travel Coordinator. This virtual/remote eligible position provides specialized administrative support focused on calendar management, travel coordination, and executive assistance for the Bishop of the Diocese of Crookston and the Chancellor/Chief Operating Officer. The successful candidate must be a practicing Catholic in good standing with the Church, with a demonstrated commitment to the mission and teachings of the Catholic Church.

This role supports the pastoral and administrative mission of the Diocese by ensuring that executive schedules and travel arrangements are handled with care, efficiency, discretion, and professionalism.

Position Summary

The Executive Scheduling & Travel Coordinator is responsible for managing complex calendars, coordinating domestic and international travel, and providing select executive support functions. The successful candidate will work independently in a remote environment while collaborating closely with in-office diocesan staff. A high level of confidentiality, sound judgment, and responsiveness is essential.

Responsibilities

Executive Calendar Management

  • Manage and maintain the Bishop’s calendar, ensuring accuracy, appropriate prioritization, and clear communication of meetings, events, and commitments.
  • Manage the Chancellor/COO’s calendar, including internal meetings, external engagements, and travel-related scheduling.
  • Coordinate scheduling with pastors, diocesan staff, councils, committees, and external partners.
  • Anticipate and resolve scheduling conflicts while allowing for preparation time, travel time, and pastoral priorities.

Travel Coordination

  • Arrange domestic and international travel for the Bishop, including flights, lodging, ground transportation, and itineraries.
  • Prepare detailed travel itineraries and ensure all necessary information is communicated in advance.
  • Monitor travel plans and respond promptly to changes, delays, or urgent needs.
  • Coordinate travel documentation and expense-related materials as required.

Executive Support

  • Provide administrative support to the Chancellor/COO as assigned, including scheduling coordination and travel-related assistance.
  • Assist with proofreading and light editing of correspondence, reports, and documents.
  • Track deadlines, follow-up items, and action steps related to executive meetings and travel.

Collaboration & Professional Conduct

  • Work closely with the Bishop’s Executive Assistant and other diocesan staff to ensure seamless coordination between virtual and in-person operations.
  • Maintain a high level of professionalism, discretion, and confidentiality in all matters.
  • Communicate clearly, courteously, and promptly with clergy, staff, and external contacts.

Work Environment

  • Fully virtual/remote position.
  • Occasional availability outside standard business hours may be required to accommodate travel or scheduling needs.

Qualifications

  • Bachelor’s degree required.
  • Demonstrated experience in executive-level scheduling, travel coordination, or administrative support.

  • Exceptional organizational skills and strong attention to detail.
  • Excellent written communication skills, including proofreading and light editing.
  • Ability to manage multiple priorities, exercise sound judgment, and work independently in a remote environment.
  • Proficiency with digital calendars, email, and virtual collaboration tools.
  • High level of professionalism, discretion, and commitment to confidentiality.
