Description
The Discipleship and Evangelization Assistant and Safe Environments Coordinator provides vital support to ensure the smooth and effective operation of all programs and initiatives related to evangelization, adult and family formation, community outreach, and the oversight of compliance to the E3 standards. This role requires strong organizational skills, a heart for ministry, and a commitment to the mission and teachings of the Catholic Church.
Essential Duties and Responsibilities:
Discipleship and Evangelization
- Provides support to the Director of Discipleship and Evangelization and associated ministry leaders.
- Manages logistics and event preparation and set up in coordination with the Hospitality Coordinator
- Prepare, distribute, and maintain accurate records, correspondence, reports, and promotional materials for ministry programs.
- Serve as a key point of contact for parishioners involved in discipleship and evangelization initiatives.
- Assist with registration and communication for associated ministries.
- Maintain databases and mailing lists for ministry participants, volunteers, and catechists.
- Works with Hospitality Coordinator to ensure smooth process for ministry volunteers.
- Manage supply inventories, order materials, and track expenses in coordination with ministry leaders.
- Maintain confidentiality and exhibit a professional, pastoral demeanor in all interactions.
- Support and collaborate with parish staff and clergy to advance the parish’s evangelization mission.
Safe Environments:
- Adhere to the Safe Environment Standards for Churches and Schools
- Be familiar with Archdiocesan policies pertaining to Safe Environment
- Ensure that all volunteers submit to E3 credentialing and re-credential every three (3) years.
- Manage all background checks
- Ensure all children receive personal safety lessons
- Maintain accurate and orderly records – both electronic and digital.
- Complete and submit annual audit report
- Complete any further documentation needed for the school early childhood, parish or archdiocese upon request.
- Work with OPCY site liaison to ensure best practices
- At minimum, communicate quarterly with all ministries and staff liaison to ensure compliance.
Qualifications
- Practicing Catholic in good standing, with a deep understanding of and commitment to the teachings of the Catholic Church.
- Minimum of 2 years support experience, preferably in a church or nonprofit setting.
- Excellent organizational, communication, and interpersonal skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Publisher) and familiarity with parish management software (e.g., ParishSOFT, Flocknote) is preferred.
- Ability to manage multiple tasks with attention to detail and deadlines.
- Discretion and sensitivity in handling confidential and pastoral matters.
- BA or BS preferred
