The Opportunity
The Database Manager is responsible for managing SPO’s database (currently Raiser’s Edge) and leading the Gift Operations department. Key areas include: performing and overseeing gift processing, “customer service” communication with donors, managing policies and procedures, maintaining online giving systems, ensuring the database is up to date and accurate, and facilitating other staff members’ database training and usage. The role also entails close collaboration with the Advancement, Finance, and Mission Partner Development (MPD) departments.
Responsibilities
- Gift Operations & Donor Relations (50%)

- Direct workflow and monitor all gift operations processes and protocols, ensuring deadlines are met and data is entered promptly and accurately.
- Process gifts daily, adhering to gift processing protocols.
- Manage pledges: recording, tracking, follow-up, etc.
- Create and develop new protocols for gift processing as needed to improve effectiveness and efficiency.
- Manage and maintain all online giving, including: online donor portal, website donation pages, and online giving donor experience.
- Ensure all interactions that the Gift Operations team has with donors are professional and timely to ensure a first-rate “customer service” experience, in close collaboration with Advancement.
- Ensure all gift processing policies, protocols, donation forms, and support cards adhere to IRS requirements and guidelines.

- Establish and maintain policies and procedures to ensure the database is up to date, complete, accurate, and used effectively.
- Audit the integrity of the data on an ongoing basis, and develop routine maintenance protocols to ensure data integrity.
- Responsible for any mass changing of records.
- Steward the database itself, as well as other related systems, including DonorElf and Research Point, and maintain professional certification within these systems as applicable.

- Manage security rights and protocols, and onboard and offboard database users.
- Train and support other staff members in using the database well, including troubleshooting where needed.
- Stay current on product updates and communicating what’s available to relevant SPO teams.

The work environment for this position will operate in a variety of settings including working in an office at a computer and on the phone, attending office meetings, visiting the mission field, flying out of state, driving a vehicle, attending events, staying overnight on business trips, etc.
Salary and Benefits
SPO offers a competitive salary commensurate with experience and a generous benefit package including health, dental, HSA, Vision, life, disability and a 401k. The starting salary range for this position is $65,000 - $75,000 annually.
As a regular full-time employee, you are eligible for benefits. These are currently as follows, but are subject to change at the discretion of SPO leadership:
- You are eligible to participate in SPO's high deductible health plan. There is an employee contribution each pay period of $63.00 for a single person.
- If you elect to participate in our health plan, we will establish an H.S.A. in your name, and make an employer contribution of $500.00 per year (monthly of $41.67). You are also able to make pre-tax payroll employee deductions if you elect to do so.
- You are also eligible to participate in a suite of additional benefits including Life and AD&D coverage, Short- and Long-Term Disability coverage, Voluntary Life, Dental, and Vision.
- After meeting a one year of service requirement you will be eligible to participate in our SPO 401K Plan, which includes an Employer match of 100% of employee contributions up to 4% of the Employee's wage. The match is currently fully vested.
- You are eligible for paid time off throughout the year under our "Time Away from Work" policy.
- SPO will also cover your costs for training and will give you an allowance for the majority of travel costs to national training events. These allowances may vary depending on event, location, and gas/market prices.

- Strong communication skills - written, verbal, interpersonal.
- Self-starter, able to take initiative and problem solve.
- Maintains confidentiality and professionalism.
- Proficient in Microsoft Office and Google Docs.
- Proficiency with CRM systems, with a preference for Raiser’s Edge expertise.
- Strong analytical and problem-solving skills.
- Excellent organizational and time management abilities.
- High attention to detail and accuracy.
- Familiarity with fundraising best practices and gift processing standards.
- Strong computer usage skills and a basic level of tech-savvy.
- Ability to read, write, and speak English fluently.

Education/Experience:
- Bachelor’s degree.
- 2+ years of CRM experience preferred.
- Experience in management and supervision preferred.
- Experience in customer service or donor relations preferred,
- Experience with SPO or a similar ministry preferred.
