Description

The Advancement Assistant will be responsible for "behind the scenes" work on advancement initiatives including the operations and execution of updating the Constituent Record Management system, managing wealth engine leads, communicating gratitude to donors, managing online giving campaigns, setting up and managing the event platform for fundraising events, updating progress towards goals, and other duties as assigned.

The ideal candidate will be able to assist the head of school and the Advancement Committee, other key department heads, and staff in planning for and implementing many of the business endeavors that occur in the advancement work on a repetitive or cyclical basis, such as registration of givers, distributing receipts, collecting pledges and donations, working with the accounts payable department, assisting with scheduling, calendaring, and communication around fund-raising events.

The candidate must be confidential, trustworthy, and able to pay keen attention to policy adherence to federal, state, diocesan, and other external laws and regulations around securing financial record keeping requirements for donors.

Qualifications

Important characteristics include excellent problem-solving skills, ability to collaborate on a team, ability to prioritize work under pressure and meet deadlines, employing a patient and methodical approach, ability to work alone or as part of a team and discretion with sensitive data.

A high level of technological skill is necessary in order to complete the multitude of tasks for which the office manager is responsible.

The person filling this position must be positive and organized, have a working knowledge or the ability to quickly acquire the knowledge of constituent management record systems (GiveSmart) and be comfortable using a variety of software and online platforms, such as Microsoft One Drive, Microsoft Office, Sign-up Genius, Parent Connect, etc.

Experience working in a school environment and supporting the needs of the faculty and staff is preferred.

This position is a half-time and full-year exempt position - 20 hours per week.

Provides primary administrative support to the Head of School around Advancement Initiatives

  1. Daily review of calendar and scheduled activities for advancement.
  2. Preparation of reports as directed by the Head of School.
  3. Other administrative activities as directed by Head of School.
  4. Assist with communications as directed by the Head of School.
  5. Assist in the planning and implementation of fund-raising events (i.e. Saints Giving Day, Saints Gala, Fore-the-Students Golf event, etc.)

Financial

  1. Keep in contact with the Finance Department to process donations, checks and cash received in the mail.
  2. Prepare and submit invoices and payment requests to Administration for approval.
  3. Keep financial accounts and records for donations.

Volunteers

  1. Support and assist volunteers as appropriate for Advancement Committee.
  2. Attend and keep minutes at Advancement Committee meetings.

Participate fully and responsibly in safety, security, HR, and finance guidelines, policies and procedures. (i.e., protecting confidential data and documents and aware of email scams and viruses.)

Miscellaneous

  1. When interacting with students, parents, co-workers, parishioners, volunteers, and other community members, employees must conduct themselves in a responsible, professional manner consistent with Catholic teaching, inside and outside of work when engaging in any kind of communication (social media, email, blog, etc.).
  2. Actively engage, as appropriate for this position, with providing updates and materials for communication tools, such as the website.
  3. Maintain a clean and orderly workspace.
