Description

St. Stephen’s Catholic Church is seeking an Administrative Assistant to support the smooth and effective daily operations of the parish office. This front-desk role serves as a welcoming first point of contact for parishioners, visitors, staff, and others who communicate with the parish by phone, in person, online, or by mail. The ideal candidate is highly organized, professional, detail-oriented, and able to manage changing priorities with calmness and discretion.

 

Key Responsibilities

·         Front desk and communications: Respond to parishioner and visitor inquiries in person, by phone, online, and by mail in a welcoming and professional manner.

·         Administrative support: Maintain accurate records, manage parish database entries, post stewardship information, and balance posted entries.

·         Facilities and scheduling: Manage facility scheduling and calendar, room setup and needs.

·         Safe environment compliance: Manage background checks and safe environment requirements for employees and volunteers.

·         Manage key access for employees.

·         Manage hospitality, hospitality volunteers, and faith community center kitchen.

·         Office operations: Oversee copier needs, mass mailings, year-end communications, Christmas and Easter cards, postage machine needs, and office purchasing.

·         Parish services: Manage Mass intention requests and other parish office processes as assigned.

Qualifications

·         Two to five years of relevant administrative, secretarial, or clerical experience preferred.

·         Proficiency with Microsoft Word, Excel, and Outlook.

·         Experience using basic office equipment, including copiers and printers.

·         Strong verbal and written communication skills.

·         Excellent organization, attention to detail, and ability to meet deadlines.

·         Sound judgment, professionalism, and ability to handle interruptions and shifting priorities.

·         Ability to maintain confidential and sensitive information.

·         Ability to work well as part of a team.

·         Practicing Roman Catholic required.
