Parish Operations Coordinator

Schedule: 30 hours/week. Will include evening and weekend hours. Benefits eligible.

Description: Functions a member of Parish Staff to support fulfillment of pastoral and administrative mission of the parish.

Responsibilities: Collaborate as a member of parish staff and serve as team leader: convene staff meetings as delegated by pastor, coordinate processes of hiring and evaluation procedures. Attend and provide staff support for meetings of Parish Community Council and Finance Committee as directed by pastor. Overall planning and coordination of parish calendar, events, etc.

Facilities Management: Serves as site manager to oversee management of parish building and grounds--maintenance, repairs and construction. Oversees code compliance, inspection bids, contracts and licenses with vendors, providers and agencies. Develops and maintains facilities preventive maintenance plan. Purchase/replace or repair equipment and supplies in accordance with Finance Committee policies.

Facilities Operation: Establishes and implements building use practices and policies, in close collaboration with parish staff. Provide oversight to facility use and protocols, including kitchen management, facility scheduling, recycling program, etc. Financial Management and Budget Management: Assist staff and Finance Committee in development of annual parish budget and prioritize annual spending for facilities maintenance. Monitor implementation of parish budget with staff and volunteers. Summarize actual monthly financial results compared to budget and follow up with budget owners (i.e., other staff) about variances. .Approve expenditures in accordance with Finance Committee policies and as delegated by pastor. Establish and maintain a responsible cash flow management system at the direction of the Finance Committee.

Volunteer Coordination and Management: Coordinate process for volunteer engagement, including background checks and VIRTUS process, Develop familiarity with archdiocese volunteers requirements and implement, including required background check process and record maintenance; insure archdiocese requirements are reflected in St. Cecilia's policies and practices. Coordinate volunteer needs, communications, and schedules, for volunteer opportunities on parish property, inside and outside the buildings. Primary responsibility for engaging and supervising parish volunteers and working with leaders of significant parish events on volunteer process.

Oversee relationship with Archdiocesan policies and practices: Attend require meetings with the archdiocese and professional groups that will assist staff and volunteers in understanding and compliance with policies and practices, procedures, application of shared software, etc. Manage parish policy manual in compliance with Archdiocesan policies.

Lead parish administrative team: communicate roles, responsibilities and performance expectations; foster open and transparent communication and collaboration across the team and the parish staff; delegate tasks and responsibilities, provide support and monitor progress; provide guidance, coaching and recognition to encourage team collaboration and individual development and achievement.

 

Qualifications

Qualifications:

Experience working in finance, accounting or a related field; facilities management, experience. Associates or Bachelors degree preferred,          Experience working in a church or non-profit setting preferred.

Experience with accounting procedures, record keeping principles and practices and software systems; knowledge of cash flow management.

Experience leading and developing teams

Experience in facilities management and project management, including vendor, contractor management, purchasing.

Experience working with volunteers.

Technology savvy--Excel, project management software

Demonstrate respect for Catholic tradition and St. Cecilia's practices.

Collaborative Interpersonal skills--effectively able to interact with internal and external stakeholders, manage conflict, seek mutually agreeable    solutions; ability to work across a variety of functional experts to achieve a shared vision/outcome.
