Part-Time Office Assistant

Job Description


  • As the first point of contact, politely and courteously, greet, direct, and assist staff, students, parents, and visitors with their requests 
  • Answer phones politely and courteously, assisting, directing and transferring callers to their requested contacts 
  • Exhibit high standards of professional ethics dealing with colleagues 
  • Cooperate and support other staff members in all areas related to the total functioning of the school 



  • Be a point of contact for parents regarding absences, fees, forms and other information necessary about their child
  • Communicate with teachers as needed regarding information provided to you from parents 
  • Oversee student records – prepare new student file folders, process incoming student records, update student records yearly and honor all record requests  


  • Process field trip permission forms and payments
  • Prepare the monthly lunch menu on a timely basis; Work with Lancer to communicate hot lunch orders according to their deadlines 
  • Be present in the lunchroom assisting students with hot lunch payment and other needs
  • Track fees and enrollment for student sports, enrichment, yearbooks, spirit wear and other student activities



  • Assist principal with weekly newsletter and distribution to classrooms 
  • Assist principal with scheduling, routine tasks and other requests 
  • Process daily mail – sort and distribute 
  • Prepare staff roster and family directory each year 
  • Use Microsoft Word, Excel, Access, internet and email to carry out the daily tasks of the school office 
  • Maintain confidentiality of all confidential data which includes all student record including IEPs, family information, tuition accounts and delinquencies, making sure all other information is kept out of sight of all visitors and all discussions regarding confidential data is discussed in private 
  • Address the health need of students- injuries, medications, notifications to parents when appropriate – and follow procedures established by the Principal

Job Qualifications: Computer and typing proficient, experience with PDS a plus Ability to operate copier, fax, and other office equipment Experience in office routines and conduct Ability to answer the telephone and operate the phone system Experience communicating with a variety of individuals MENTAL DEMANDS: Ability to handle multiple phone calls and greet visitors simultaneously and professionally Maintain a personal, hospitable, accurate and organized environment Ability to be supporting and maintain confidentiality Work well with others, while maintaining a positive and helpful attitude, even during chaotic situations Ability to communicate effectively PHYSICAL DEMANDS Able to sit for long periods of time Able to type and view documents on a computer and/or typewriter and operate other types of office equipment Able to hear and respond to telephone calls Lift and move using proper techniques up to 15 pounds
