Full-Time Director of Athletics and Activities

Job Description


Saint Thomas Academy seeks a Director of Athletics and Activities to lead, coordinate, develop and support Saint Thomas Academy’s athletic and co-curricular programming for students in Grades 6-12 in full alignment with the mission and vision for the school.


  • Support Saint Thomas Academy and the St. Paul/Minneapolis Archdiocese’s mission and goals and actively articulate them to the Academy’s constituents and the wider community.
  • In support of the mission and goals of Saint Thomas Academy, employees will follow all school policies and procedures.
  • Actively participate in administrative functions of the Academy.
  • Provide leadership consistent with Catholic teaching; the position of Director of Athletics and Activities at Saint Thomas Academy is expected to be a practicing Catholic in good-standing with the church.


The Director of Athletics and Activities will oversee all aspects of the athletic and co-curricular programs sponsored by Saint Thomas Academy.  Responsibilities include, but are not limited to, the following:

  • Provides leadership and supervision for the operations of Saint Thomas Academy’s athletic/co-curricular activities
  • Develops and implements goals, objectives, policies, procedures and work standards for the athletic and activities department
  • Facilitates the development and implementation of a departmental strategic plan, aligning department plans with the Academy’s mission, values and strategic goals
  • Promotes participation in athletics and activities among the entire student body
  • Develops, controls, and supervises athletic and activities budgets, working in collaboration with the Business Office and school leadership to balance quality and excellence with cost-effectiveness and efficiency
  • Maintains appropriate, consistent department policies, procedures and practices, while ensuring alignment with all school policies and requirements, including updating the student handbook for co-curricular activities
  • Ensures an environment that promotes a commitment to student academic achievement, retention and graduation, including the enforcement of all school policies related to student eligibility.
  • Recommends selection of coaches and moderators to school leadership team and manages the interviewing, hiring, training, and evaluation of all athletic coaches and activities moderators
  • Gives direction to and provides support for coaches, moderators, athletic trainers, administrative staff, student-athletes and support staff
  • Meets, at a minimum, with each coach and moderator at the beginning and end of the season or the activity
  • Provides a high level of responsive customer service to all constituents
  • Communicates regularly with parents and students regarding athletics and co-curricular programs
  • Responds to and resolves inquiries and complaints in alignment with the Academy’s approach to conflict resolution
  • Promotes safety and wellness of the Academy’s student-athletes
  • Promotes a culture of positive sportsmanship throughout the athletic program and school
  • Assists school college counselors and parents in the college athletic recruitment process
  • Effectively manages the daily operations of the department, which includes, but is not limited to:
    • Developing game schedules
  • Arranging and managing transportation for all away competitions as stipulated by current school policy
    • Scheduling/supervising site managers and security for home athletic contests and oversee programs for home events
    • Providing necessary support people to hold athletic events on campus
    • Informing facility maintenance staff of necessary set up for home athletic events
    • Ordering supplies needed for athletics
    • Assisting coaches in scheduling off-campus facilities
    • Attending and supervising on site-varsity events
    • Scheduling game officials
    • Scheduling campus athletic facilities through the school’s facilities management processes
    • Collaborating with the coaching staff on scheduling practices throughout the sports season and off-season to manage conflicts and ensure equitable access to shared equipment (weight rooms, gyms, etc.) and athletic trainers’ attention.
    • Assisting coaches in scheduling of contests in all sports at all levels
    • Maintaining department web pages, calendars with up-to-date information
    • Ensuring on-going, consistent communication with parents regarding programs
    • Coordinating awards for athletes such as letters and conference and state recognitions
    • Managing the selection of student/athlete award winners
  • Ensures compliance with all policies and practices of Minnesota State High School League policies, including submission of team rosters, required reports, and responses to inquiries
  • Represents Saint Thomas Academy in the Metro East Conference which includes attending High School Athletic Director meetings and has responsibility for sports assigned by the conference
  • Serves (when elected) as committee member for the Academy’s competitive regions, which includes attending all meetings
  • Represents Saint Thomas Academy at conferences, professional and governance organizations, and in the community
  • Cultivates and develops external constituency relationships that will lead to the growth of athletics funding at the request of or in collaboration with the Advancement office
  • Organizes/participates in program coalitions and partnerships with other local, state, private/public agencies
  • Collaborates with Communications and Marketing in the preparation of press releases and the arrangement of media coverage for athletic events and co-curricular activities
  • Makes recommendations to school leadership regarding facilities and programs
  • Communicates to Director of Facilities the need for repair of athletic fields, gymnasiums, and locker rooms
  • Stays abreast of new trends and innovations in athletics, including rule changes, participation trends, and new programming opportunities
  • Engages in ongoing professional development including attendance at the annual state conference for Athletic Directors
  • Performs other related duties as required and assigned

Job Qualifications: Education and Experience • MA in Education or related field required • Five years’ recent experience in education and/or athletic management • AD certification or demonstrated willingness to complete certification • Exceptional management, leadership, customer service, communication and organizational skills • Experience in independent school preferred
