Full-Time Administrative Assistant/Receptionist

Job Description

Primary Functions: The Administrative Assistant/Receptionist’s primary function is to provide front office support, take attendance, greet and direct all calls and visitors, handle special projects, as assigned, and supervise a group of students.

Essential Duties and Responsibilities

Reception

  • Manage student attendance, late arrivals and early departures in an effective, efficient manner
  • Make attendance calls for school and Corporate Work Study Program
  • Perform a variety of administrative support tasks, including special projects
  • Interact with and assist students with various requests; bus cards, back to class passes, or directing them to whom they are looking for
  • Manage multi-line phone system; answer and direct all incoming calls
  • Greet and direct all visitors; open security door, enforce visitor policies, inform staff of visitors’ arrival
  • Serve as main contact for Student Receptionists
  • Ensure all students are signed in/out as they arrive/depart (from appointments or in case of late arrivals)
  • All other duties, as assigned by the Executive Assistant

Administration

  • Assists Admissions with shadow calls
  • Manages special projects from Admissions, CWSP and Athletics
  • Create, track and maintain an inventory system for office supplies & tools
  • Order all office supplies and tools, as necessary
  • Serve as the primary receiver for all incoming packages and (signature-required) mailings and inform recipient of package arrival
  • Coordinate delivery of all mail
  • Create, track and maintain an inventory system for 1st floor kitchen supplies
  • Assist Business Office Director in receiving tuition payments
  • Receive payments for uniforms and spirit wear

Supervision

  • Supervise Student Worker(s)
  • Train Student Worker(s)
  • Manage Student Worker(s) performance

Job Qualifications: • College degree or equivalent experience • Ability to read, write, and speak Spanish fluently and professionally • Excellent spoken and written communication skills in both English and Spanish • Ability to multitask: handle several tasks simultaneously; juggle phone calls, face-to-face contact with clients, visitors, students and employees; complete clerical projects. • Prioritize multiple projects and requests • Good organizational and time management skills • Working knowledge of Microsoft Office Suite and basic office systems • A friendly and confident personality • Must enjoy interacting with teenagers • A friendly and confident personality • Ability to work without supervision • Familiarity with the Jesuit education and mission, preferred • Familiarity with an Academic setting, preferred • Multi-lingual, helpful The ideal candidate should be flexible enough to adapt to changes in the job description as position evolves and new procedures are implemented.
