Part-Time Administrative Assistant

Job Description

  • Front Desk Reception
    • Be the first point of contact for parish calls and visitors
    • Keep main reception area clean, open and welcoming to guests
    • Receive and distribute incoming mail and deliveries
    • Oversee parish office supply inventory and assist in management of Parish House vendor relationships
    • Work collaboratively with parking garage relationship and oversee weekly parking voucher process
    • Provide scheduling assistance and office support for the Pastor and Parish Administrator as needed
  • Finance Dept. Administrative Assistant Duties
    • Work as head of Volunteer Counters – provide all materials, look up all giving numbers as needed, provide second count when/if necessary
    • Process mailed general operating and restricted account payments received and create deposits for same
  • Mailings/Publications
    • Act as coordinator for all parish mailings (New parishioner welcome letters/packets, Donor thank you letters, Stewardship mailing, Flyers, postcards and invitations as requested)
    • Input information into Bulletin template and assist in process for printing
    • Print out all certificates for Sacraments
  • Membership Database
    • Maintain accurate and current database of parish members (Family Suite)
    • Implement new parishioner welcome process (2 x’s a year receptions, etc.)
    • Maintain parishioner volunteer interest in membership database
  • Calendaring
    • Maintain and update Google Clergy Calendar
    • Process monthly clergy calendar listing
    • Schedule mass intentions
    • Process weekly Mass Intention list

Job Qualifications: Administrative Assistant General Accountabilities: Employment by Our Lady of Lourdes is substantially different from secular employment. Church employees must conduct themselves in a manner which is consistent with and supportive of the mission and purpose of the Church. An employee’s behavior must not violate the faith, morals or laws of the Church or the Archdiocese. It is preferred that this employee be an active, participating Roman Catholic. Job Purpose: Work cooperatively with the Pastor, Parish Administrator and staff to perform office procedures in an effective and friendly manner. Provide for an efficient, safe and effective pastoral environment in keeping with the mission of Our Lady of Lourdes. Act as Administrative assistant to Pastor and Parish Administrator. Qualifications: Minimum of 3 years of experience working in an office environment Strong interest in this type of work Strong customer service and communication skills Experience and/or familiarity with Catholic parish life Experience working with volunteers Strong organizational and communication skills, accuracy and attention to detail Operational knowledge of Microsoft Word, Excel, Publisher Preferred software experience: Parish Soft Family Suite
