Full-Time Admin Asst Office Operations

 Rosemount, Minnesota, United States

Job Description

Representative Responsibilities:

*1. To be present where needed, ready to work as needed to meet responsibilities.  Includes recognizing when situations require more effort, seeking approval to put in more time if needed, satisfying responsibilities in a timely manner, providing an example of punctuality and attendance, and generally ensuring all is ready and taken care of.

*2. Participate in creating a productive, harmonious environment, promoting good morale, effective communications and an engaging and uplifting environment.

*3. Maintain Update and Report

  • posting and validation of parish contributions information
  • Oversee VANCO deposits and updating parishioner records
  • Oversee ACH deposits and updating parishioner records
  • Ensure balancing and scanning of checks and accurate deposit
  • Develop and generate special reports as requested
  • Other administrative tasks required to maintain accurate and timely database

*4. Manage and Produce Parish Statements and Mailings

  • Recruit, train and manage a volunteer group to assist with parish mailings
  • Develop and maintain effective relationship with USPS and other key delivery firms including current knowledge of all policies and practices required to use their respective services

*5. Support – Parish Director

*6. Support – Director of Lifelong Faith Formation

*7. Support – Director of Worship

*8. Support – Finance Bookkeeper and HR Supervisor

*9. First contact for Cemetery inquiries

*10. Be an Effective Team Member

 

Qualifications
a) Christian faith committed to Gospel values, preferably Catholic
b) Demonstrated strong interpersonal skills that build effective relationships with parish staff, parish leaders, parish members, volunteers, guests and other key parish stakeholders
c) Proven ability and desire to work in a collaborative, team-based work environment
d) History of an ability to effectively manage multiple projects and work assignments at the same time
e) Demonstrated ability to ensure accurate input of data and maintain database (census, financial)
f) Proven ability to identify and maintain strict confidentiality when required
g) Demonstrated desire to maintain and improve current skills through networking, research and educational opportunities
h) Proven computer skills commensurate with accountabilities and equipment requirements
i) Experience working in a volunteer based, nonprofit organization preferred
j) Demonstrated ability to use office equipment and software as required by accountabilities
k) Demonstrated ability to maintain and improve database and financial administration’
l) Must be able to pass an archdiocesan background check

Physical Demands
a) Work all required hours, more at certain times
b) Enter data via a keyboard
c) Sit for long periods of time while working on a computer
d) See printed reports and computer screens clearly
e) Periodically adjust schedule or extend hours as required
f) Walk, stand, sit kneel or bend as needed
g) Lift up to 25 pounds using proper lifting techniques
h) Go up and down stairs
i) Climb up and down a three step ladder to obtain supplies
j) Be aware what is going on around you
