Description
Saint Agnes School is seeking a highly organized Administrative Assistant to join our Main Office team. This is a mission-critical role at the center of daily school operations. The right person will bring calm to busy moments, clarity to complex logistics, and warmth to every interaction with students, families, faculty, and visitors.

What You’ll Do
You will support the smooth operation of the school by managing communication, calendars, logistics, and events, while serving as a key support to school leadership.
Core Responsibilities
- Serve as a welcoming and professional first point of contact for families, students, staff, and visitors
- Coordinate daily substitute coverage, including last-minute needs and occasional early morning or after-hours outreach
- Manage school-wide calendars, room reservations, and logistics for events, field trips, and meetings
- Act as a central communication hub across departments (faculty, facilities, transportation, IT, events)
- Support major school events and milestone moments (graduation, awards ceremonies, conferences, fundraising events)
- Prepare and distribute routine school communications and maintain organized records
- Oversee office operations, supplies, and basic technology coordination with IT
- Provide backup support to the Receptionist and assist with special projects as needed
- Handle sensitive information with professionalism and discretion

This is not a quiet desk job. The Main Office is the nerve center of a school. The right candidate will:

- Balance long-term planning with frequent same-day requests

- Take pride in being dependable and detail-oriented, even when the day gets hectic
- Be willing to persist through last-minute changes, especially when securing substitute coverage

- Ability to work well in a team environment
- Strong organizational, planning, and time management skills
- Excellent communication and interpersonal skills
- Ability to work independently with sound judgment and discretion
- High level of comfort managing confidential information
- Professional demeanor with students, parents, faculty, and administrators
- Willingness and availability to support urgent staffing needs, including occasional early mornings or after-hours coordination
Preferred
- Prior experience in a school or similarly fast-paced, people-facing environment
- Experience coordinating schedules, events, or complex logistics
Physical & Mental Demands
- Frequent movement throughout the building, including stairs
- Occasional lifting and carrying of supplies or boxes
- Sustained focus with frequent interruptions
- Ability to remain positive and composed in high-activity environments
