Description
Visitation School is seeking a PowerSchool Specialist. This role plays an integral role, ensuring integrity and
smooth operation of the school’s Student Information System.
This is a part-time position for the 2025–26 school year, with the opportunity to continue beyond the current school
year. The PowerSchool Specialist is responsible for managing the PowerSchool system, running queries to extract
information, training and supporting users, and collaborating closely with all school stakeholders to ensure best
practices and effective technical support. This role is essential to maintaining accurate student records and supporting
data-driven decision-making throughout the school.
ESSENTIAL DUTIES & RESPONSIBILITIES
● Set up and maintain user accounts, system settings, and access for staff, students, and parents.
● Manage annual and academic processes, including new school year setup, rollover, year-end closeout,
scheduling, course registration/changes, instructor and room assignments, locker assignments, and publication
of courses and calendars in PowerSchool.
● Maintain and update student records, ensuring accuracy and validity of contact information, enrollments,
schedules, transcripts, test scores, attendance, grades, and other key data.
● Process course changes, finalize term grades and GPA, manage enrollment/withdrawal processes, and support
graduation and transfer tracking, verification, and student record management, including transfers. Import data
from admissions software as needed.
● Generate standard and ad hoc reports and perform advanced queries to support administration, faculty, and
staff, including collaboration with the Dean of Academic Advising to prepare academic reports.
● Train and support users, monitor system use, assess needs, and troubleshoot system or software issues,
coordinating with PowerSchool support as necessary.
● Coordinate with Technology staff to ensure coherence across Schoology, FinalSite, Blackbaud, and related
systems, remaining current on best practices and PowerScheduler capabilities and recommending system
improvements.
Qualifications
● Bachelor’s degree in a related field or equivalent experience
● Proficiency with G Suite (Google Docs, Forms, Sheets) and basic knowledge of MS Word and Excel
● 3–5 years of administrative experience in records, attendance, or data management, preferably in an
independent school
● Experience with PowerSchool preferred
● Excellent interpersonal, verbal, and written communication skills
● Strong organizational skills, attention to detail, and ability to maintain perspective on the big picture.
