Description
The Parish Finance Manager is responsible for managing and directing all the financial aspects of the parish, school, and cemetery which includes financial reporting and analysis, accounting, payroll, budgeting, internal controls, insurance (working with Catholic Mutual), human resources, and legal matters. The management of finances for the parish, school, and cemetery must be done in accordance with the accounting and reporting policies of the Archdiocese of St. Paul/Minneapolis, generally accepted accounting principles and when applicable, state, and federal laws and related reporting.
Representative Responsibilities
- Process and manage payroll
- Prepare annual budgets and annual financial reporting to the parishioners, staff, and Archdiocese
- Prepares and submits monthly, quarterly, and year-to-date financial reports and analyses for review by the Pastor, Principal, Parish Business Administrator and Finance Council
- Prepare and submit timely required Archdiocesan reports
- Monitor the cash flow of the Parish
- Responsible for preparing and monitoring staff, department, and ministry budgets for conformance to the overall approved budget
- Monitor and reconcile monthly parish bank and investment accounts
- Serve as parish liaison to Archdiocese CFO‘s office
- Prepares reporting, analysis, and documentation for presentation and discussion at Parish Finance Council meetings
- Supervise and support the counting of weekly collections
- Monitors the collection, accounting, recording, and depositing of parish and school revenues from all sources
- Supervise, train, and support the accounting assistant
- Responsible for the internal bookkeeping and payroll functions, including general ledger, payables, receivables, etc
- Responsible for personal files and resources
- Manage systems and procedures for online giving, counting processes, and security of cash among the staff
- Review and monitor invoices before payment to ensure receipt of materials or services and conformity to policy, budget, and policies
- Establish and maintain effective internal controls over the financial resources and assets of the parish
- Ensure that all taxes are paid in conformance with regulations
- Works closely with the Pastor, Parish Business Administrator, and Facilities Manager to ensure all financial goals and obligations are met for capital projects and repairs and maintenance for the parish and school.
- Works with the Pastor, Parish Business Administrator, and Facilities Manager in reviewing bids for capital projects and negotiating with suppliers and contractors. Reviews all contracts and advises the Pastor regarding contracts.
- Manages all vendor relationships and financial documents
- Assist and support the Parish Business Administrator with HR paperwork and processes
- Maintains an accurate filing, record keeping and reporting system for all parish and school financial records and reports and ensures compliance with Diocesan record retention policies.
- Maintain complete confidentiality regarding contributions, sharing only as needed with the Pastor
- Work with ministry leaders on managing ministry accounts
- Participates in regularly scheduled staff meetings and other relevant parish meetings
- All other duties, as assigned
Qualifications
- 2-year degree in accounting
- 5 years prior bookkeeping experience
- Operational knowledge of software such as ParishSoft, Quickbooks, Excel and Word. Adaptability to new software.
- Ability to type 35 wpm & data entry skills
- Strong organization & communication skills & attention to detail.
- Strong respect for confidentiality.
- Knowledge of non-profit accounting practices preferred.
