Description

Job Purpose: Working with and under direct supervision of the Pastor, the administrator is responsible for the business functions of the church. This would include but not limited to the administration, fiscal, property management functions, and supervision staff. Most important is to bring leadership, excitement, flexibility, and creativity to the parish and the staff.

Representative Responsibilities: To be present, ready to work and on time for all scheduled hours. In addition to be responsible for the following:

1)  Financial Practices
a) Prepare and review budget process – with staff and commissions. Work with the finance and stewardship commission and the parish council to finalize and implement the budget.
b) Implement and ensure that the parish financial management system adequately meets acceptable accounting standards.
c) Present monthly financial reports for the finance council and work with the commission to oversee financial investments. Work with Archdiocesan accounting, Parish Accounting Service Center (PASC) to submit needed items for accounting reports.
d) Oversee the day-to-day budget management and fiscal and internal financial controls. Accountability for Payroll, Accounts Payable, and Accounts Receivable accuracy and the systems the church uses.
e) Ensure that all Finances, Operations, Capital Campaign, and Cemetery are accurate.

2)  Property Management Practices
a) Supervise and oversee the security, management and maintenance of parish properties and all capital improvements.
b) Operate the parish cemetery for the benefit of the parish community, and all those who own burial lots therein.
c) Assure compliance with all safety, security, environmental and health regulations.
d) Advise the pastor on property, fiscal and legal matters related to the Archdiocese.

3)  Insurance
a) Monitor insurance and benefit programs.
b) Coordinate parish liability and property insurance and workman’s compensation.

4)  Administration
a) Supervise the staff together with the pastor.
b) Work directly with the Finance Council, Administration Commission, Stewardship Committee and the Parish Pastoral Council.
c) Develop personnel policies in conjunction with the Archdiocese.
d) Work with the pastor and other directors to recruit, hire and dismiss staff.
e) Facilitate personnel matters: ensure proper record keeping regarding the benefits administration, salary administration.
f) Participate in all parish-wide activities.
g) Support activities of staff.

5) IT/Communications
a) Oversee parish staff in the creation and management of the bulletin content, website, digital displays, and all social media platforms to ensure accuracy, consistency, and alignment with organizational standards.
b) Security: Work with maintenance staff to ensure key fob system is operational. Act is 2nd point of contact in maintaining the system.
c) Network and Staff Computer Hardware: Work with IT vendors to ensure the parish is in compliance with Archdiocesan IT standards. Act as first point of contact for staff before contacting vendors for IT support.
d) Copyright and content management: be mindful of copyright laws and content management policy consistent with parish and Archdiocesan policies.

Qualifications

  • 4 year BA/BS Degree in Business/Accounting and/or 2 years experience in accounting/management.
  • Proficient in use of computer and software
  • Must be able to work effectively and collaboratively with others and without supervision
    Ability to make decisions

Salary: The salary range for this position is $65,000 - $80,000 based on experience and qualifications. This position offers medical and dental insurance, 403b retirement, paid time off, and other elective benefits as chosen by the employee.
