Description
Position Summary:
The person in this position is responsible for assisting the Chancellor with analyzing cases and legal projects. This person manages all administrative responsibilities in the legal office.
Essential Functions of the Position:
- Organizes and leads several Archdiocesan continuing education events, including:
- Annual Employment Law Update Seminar
- Bi-Annual Regional Trustee Meeting
- Creates digital and physical materials for presentations
- Processes all documentation for Parish Trustee appointments, reappointments and resignations
- Helps manage and organize special projects, as needed. Examples of past projects include assisting in an episcopal ordination, leading a subgroup for a policy project, and contributing to a national pilgrimage event
- Maintains letters of good standing for extern clergy
- Conducts all initial research and provide information to the Chancellors, using legal research tools;
- In addition to legal research for the Chancellors, legal research (e.g. related to bylaws, property and buildings, boundaries, incorporation, institution status, wills and trusts, etc.) for parish/school staff and other ACC departments (e.g. Finance);
- Organizes all legal documents in a confidential way;
- Scans, processes, and files legal and clergy documentation with direction from Archives and Records team
- Composes substantive legal correspondence;
- Transcribe voice recordings into documents;
- Organizes, indexes and summarizes files and other materials;
- Conducts legal research and gain knowledge of relevant legal information sources;
- Provides tax exempt verification letters for institutions and providing copies of their most recent OCD entry;
- Oversees USCCB applications process and change forms for Catholic institutions in the Archdiocese
- Manages annual Official Catholic Directory updates for affiliate institutions in coordination with Archives and Records team
- Provides Chancellors with a variety of legal processes;
- Processes Suitability/Authorization letters for clergy as needed;
- Moved up in list Performs job duties independently, organizes work flow efficiently, sets priorities and meets deadlines;
- Performs a variety of administrative duties both efficiently and accurately, in support of the Chancellor for Civil Affairs;
- Converts from PDF to Word
- Creates PowerPoints/ Prezi
- Prepares Memos
- Helps maintain office supplies
- Assists with management of Bi-Weekly Meetings
- Serves as Mission Support bulldog and general backup assistant for the Chancellors office.
Qualifications
Job Requirements (Knowledge, Skills and Abilities):
- Excellent communication skills both verbal and written;
- Knowledge and understanding of the Roman Catholic Church, its structure and the ministries within the Offices of the Catholic Center;
- Ability to exercise discretion, good judgment and initiative;
- Demonstrated proficiency with MS Office;
- Experience with database software such as Microsoft CRM and Laserfiche;
- Ability to learn new software and hardware applications;
- Ability to prioritize, multi-task and meet deadlines with minimal supervision;
- Diplomatic, tactful and discreet especially when dealing with confidential matters;
- Ability to work in collaboration with others;
- Establishes and maintains effective working relationships;
- Handles confidential and sensitive information with discretion;
- Strong interpersonal skills.
Job Qualifications: (Education and Experience):
- Bachelor’s degree;
- Experience as an administrative assistant and office management in a fast-paced environment.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
