The AMERICAN COLLEGE OF PEDIATRICIANS (ACPeds) is a national organization dedicated to advocating for what is “Best for Children” based on scientifically and ethically sound foundations. ACPeds supports physicians and parents through evidence-based resources, research, and advocacy grounded in principles that protect the physical and emotional well-being of children.
POSITION OVERVIEW
The Membership Coordinator for the American College of Pediatricians (ACPeds) is responsible for processing new and renewing Members, communicating with Members by email, phone, or postal mailings as needed, monitoring and cleaning up database information, and helping the Executive Director, Executive Administrative Assistant, Membership Committee and paid ACPeds Members with their membership needs.
The Membership Coordinator will be proficient at using ACPeds' CRM (Customer Relationship Manager – currently Charityproud) to enhance membership recruitment, retention, renewal reminders and cordial ACPeds engagement.
Candidates for this position must be in alignment with ACPeds' Mission and Values, and be warm and personable in customer engagement and responsible.

This is a part time (approximately 20 hours per week) remote work position, but residence in Minneapolis, Minnesota, is required, with mail pickup responsibilities at a site in the Edina community. This is a critical position, since ACPeds intends on doubling its physician membership over this next year. Continued employment as the Membership Coordinator, and possible expansion of hours and/or benefits are contingent on demonstrated strong performance, reliability and performance in punctually meeting assigned responsibilities.
KEY RESPONSIBILITIES
Membership-Related Responsibilities:
● Process new and renewing membership submissions in ACPeds’ CRM (currently CharityProud)
● Communicate with members via email, phone, or postal mail as needed
● Maintain and update accurate membership records in the CRM
● Generate and manage renewal reminders and member engagement communications
● Create and manage mailing lists for newsletters and other member correspondence
● Prepare and update membership reports for the Membership Committee Chair
● Support the Executive Director, Executive Assistant, and Membership Committee in administrative and member-related activities
● Attend and contribute to weekly staff Zoom meetings and monthly meetings for Membership & Development committees
Donor-Related Responsibilities:
● Process and record donations and grants in the CRM
● Prepare and send donor acknowledgment and thank-you letters
● Assist with donor engagement initiatives and mailing campaigns
● Support the Executive Director and staff with donor tracking and reporting
QUALIFICATIONS
Required:
● Strong alignment with the mission and values of the American College of Pediatricians
● Excellent written and verbal communication skills, including professional phone etiquette
● Strong attention to detail and accuracy with data and financial information
● Ability to handle confidential information responsibly
● Associate’s degree in Business Administration, Communications, Economics, or related field
● Basic computer proficiency and experience with mailing, printing, and data management
● Familiarity with Mac software, Microsoft Office, Google Workspace, and Zoom
Preferred:
● Prior experience as a Membership Coordinator or working within a nonprofit organization
● Proficiency with CharityProud or a similar CRM platform
● Knowledge of membership development and donor relations best practices
● Dedicated home workspace suitable for a desk, computer, and printer
● Ability to sit or stand for extended periods and lift up to 15 lbs
WORK EXPECTATIONS
● Approximately 20 hours per week, part-time remote work
● Must reside in Minneapolis, Minnesota, with mail pickup duties in Edina
● Occasional travel required for annual conference (once per year)
● ACPeds will provide a dedicated work computer for professional use
● Must maintain a professional home office environment suitable for remote work
