Position Overview

The Marketing and Development Coordinator supports the execution of marketing, communications, and fundraising initiatives at Holy Spirit Academy.

Working closely with the Marketing and Development Director, this role focuses on implementation, project coordination, communications production, CRM management, and event logistics that support donor engagement and school visibility.

The Coordinator plays a critical operational role by maintaining the donor database, managing communications workflows, coordinating marketing materials, and assisting with execution and planning of fundraising events and campaigns.

Key Responsibilities

CRM & Donor Data Management

  • Maintain the school’s donor CRM database, ensuring accurate records for donors, alumni, sponsors, and community partners.
    • Process donations and enter gift records in a timely and accurate manner.
  • Assist with donor acknowledgments, tax receipts, and stewardship communications.
    • Track donor engagement, communication history, and giving activity.
    • Generate donor reports to support fundraising analysis and donor stewardship.

Marketing & Communications Execution

  • Assist in creating and distributing marketing materials including email newsletters, social media posts, website updates, and print collateral.
    • Manage day-to-day social media posting and scheduling.
    • Assist in content creation including photography, short-form video, and storytelling.
    • Maintain and update website content.
    • Ensure marketing materials follow Holy Spirit Academy’s brand standards and messaging.

Fundraising Campaign Support

  • Assist with execution of fundraising campaigns including annual giving appeals and donor stewardship initiatives.
    • Coordinate donor mailings and email campaigns.
    • Assist with sponsorship fulfillment and communication.

Event Coordination

  • Support the planning and execution of fundraising events such as Harvest Banquet, Fit for Life 5K Run, and Spirit’s Cup Golf Tournament.
    • Assist in event coordination including logistics, volunteer communication, materials preparation, and on-site support.
  • Participate in securing corporate sponsorships.
    • Track event-related data including sponsorships, attendance, and donor participation.

Administrative & Operational Support

  • Maintain a communications and campaign calendar.
    • Organize marketing assets including photos, videos, and promotional materials.
    • Assist with office and advancement administrative tasks as needed.
    • Support general marketing and development initiatives as assigned.

Qualifications

Qualifications

Required

  • Associate or Bachelor’s degree in Marketing, Communications, Business, Nonprofit Management, or related field
    • Strong organizational and project management skills
    • Excellent written and verbal communication skills
    • Proficiency with Microsoft 365 or Google Workspace
    • Experience with social media platforms and basic digital marketing tools
  • Experience with CRM or donor database systems
    • Experience with Canva, Adobe Creative Suite, or other graphic design tools
    • Experience with email marketing platforms (Mailchimp, Constant Contact, etc.)
    • Experience coordinating events or working in nonprofit or school environments
