Department: Mission Advancement 

Supervisor: Managing Director of Mission Advancement 

Status: Full Time, Exempt 

Hours Schedule: 40 hours per week, Weekdays (some evenings/weekends) 

 

PURPOSE OF POSITION  

Develop, implement, and oversee special events strategy for The Basilica Landmark and The Basilica of Saint Mary parish to raise funds, cultivate and steward donors, and build awareness of the organizations and their missions and visions with members, donors, and the wider community. 

SCOPE OF POSITION  

  • Reports to the Managing Director of Mission Advancement. 
  • Work collaboratively with the Mission Advancement team and volunteer leaders to plan, coordinate and implement an effective schedule of special fundraising and stewardship events. 
  • Supervise events coordinator. 
  • Manage volunteers and committees supporting special events. 
  • Hire, supervise any interns and contractors for special events.

 

PRIMARY FUNCTIONS AND MAJOR ACTIVITES 

Prepare special event strategic plans, including goals, communications and marketing plans, budgets, and timelines. Track analytics and goals. 

  • Identify and implement fundraising, communications and marketing strategies and tactics to successfully achieve event goals and grow target audiences. 
  • Recruit and form volunteer committees to run events. Responsible for scheduling and preparing for meetings, committee communications, and volunteer acknowledgements and appreciation. 
  • Oversee event administrative support like mailings (sponsor letters, invitations, save the date postcards), data entry, deposits, acknowledgements, and tax notification letters. 
  • Plan and coordinate all event components including marketing and promotions, logistics, ticket allocation, volunteer needs, and solicitation of auction items, on-site event coordination. 
  • Manage relationships with vendors and ensure coordination of activities are on schedule and on budget. 
  • Plan and coordinate auction if applicable 
  • Collaborate with Basilica staff across all teams to develop and implement a comprehensive events strategy that strengthens community engagement and fosters a vibrant, welcoming parish environment. 

 

Coordinate with colleagues and participate in team and Basilica of Saint Mary staff activities. 

  • Participate in development team meetings. 
  • Participate in all-staff meetings, gatherings and trainings. 
  • Ready to work and complete all assigned responsibilities and accept additional responsibilities identified by your supervisor 

Compensation and Benefits 

The salary range for this position is $63,000 - $65,000 annually. All full-time employees of The Basilica of Saint Mary receive access to the following benefits: medical/dental/vision insurance, FSA & HSA plans, 3 weeks of paid time off, sick leave, paid holidays, floating holidays, parental leave, 403b, 403b matching up to 3%, life insurance, employee assistance program (EAP), short-term disability, long-term disability, and other supplemental insurance options.

Employment in and by the Church is substantially different from secular employment. Qualifications

POSITION QUALIFICATIONS 

Knowledge, Skills, and Abilities 

  • College degree or equivalent experience 
  • Experience in non-profit event planning and project management and knowledge of community resources 
  • Excellent organizational skills, and able to see big pictures and attend to details and task-oriented 
  • Previous volunteer management experience (especially with events and committees) 
  • Excellent written and verbal communication skills 
  • Must be able to self-direct and handle numerous varied tasks 
  • Strong computer skills (Microsoft Office) and experience with Raiser’s Edge NXT or similar CRM. 
  • Hospitable personality, professional confidence and ability to collaborate with co-workers and volunteers. 
  • Ability to maintain confidentiality including donor records and department discussions 
  • Flexible schedule (weekends and evening work is frequent) 
  • Proven experience in strategic communications, marketing, public relations, social/digital media, project management, budgeting desired 
  • Ability to relate to people of all ages and diverse backgrounds. 

 

Physical Demands 

  • Must have a valid driver’s license and access to a motor vehicle to use for work 
  • Work 40 or more hours per week when needed 
  • Must be able to stand for extended periods 
  • Ability to walk up and down stairs
