Description

Due to a pending retirement, the Church and School of St Peter in Forest Lake, MN has an  opening for a full time Maintenance Supervisor to join the Parish staff.  This role is an hourly non-exempt position subject to overtime after 40 hours a week.  The standard work week is Monday - Friday, 8 hours per shift.  Some flexibility is required to cover vacations and special Parish events. This role is also eligible for full benefits including paid time off, health and dental coverage, 403(b) plan, HSA, and flexible spending accounts, subject to plan terms.

Employment in and by the Roman Catholic Church (hereinafter Church) is substantially different from secular employment.  Church employees must conduct themselves in a manner which is consistent with and supportive of the mission and purpose of the Church.   Their public behavior must not violate the faith, morals, or laws of the Church, the Archdiocese of Saint Paul and Minneapolis, and the Church of Saint Peter in Forest Lake, such that it can embarrass the Church or give rise to scandal.  This position does not require that an employee be an active participating Catholic, however it is expected that the employee will have an understanding of the rich tradition and doctrine of the Church and will uphold and enforce the teachings of the Church.

The responsibilities listed below are representative of the job and are not inclusive.

 Objective:

To oversee and supervise all maintenance aspects of the facilities and grounds, including all mechanical systems and physical structures while adhering to all governmental regulations ensuring a clean, sanitary, safe and welcoming environment for the Parish.

Job Specific Responsibilities:

Maintenance and Repair of Equipment, Building Systems and Structures

  • Have an understanding of facility mechanical systems (such as heating, air conditioning, plumbing, and electrical systems).
  • Be able to do basic repairs on the building and equipment including electrical, plumbing, small engine, carpentry, painting and general mechanical repairs.
  • Maintain and service all mechanical systems including plumbing systems, electrical systems, HVAC, and general repair work, contracting out what cannot be done in house.
  • Ensure that all repairs are completed in a timely manner.
  • Establish preventative maintenance programs for all system and structures.
  • Ensure the maintenance and operation of fire alarm and sprinkler systems.
  • Replace light bulbs, batteries, furnace filters, and other disposable items as needed.
  • See to it that building structures such as windows, doors, flooring, and roofs are repaired or replaced as needed, contracting all work out that cannot be accomplished internally.
  • Ensure that all tools and equipment are returned to their proper place upon completion of associated work activity.
  • Ensure that facilities and systems are in compliance with governmental and Archdiocesan protocols.

Supervision of Projects and working with Sub-Contractors

  • In coordination with Parish Business Administrator and the Pastor, direct and oversee major and minor renovation projects, building additions, or changes in the parish grounds
  • Develop written statements of work as needed for any work to be subcontracted out and review with the Parish Business Administrator. Be clear about any licenses needed.  These statements will be used as a basis for any bidding needed for work.
  • Identify list of qualified vendors in applicable areas.
  • Solicit competitive price quotes when appropriate; review with Parish Business Administrator before proceeding.
  • Ensure that all contracts are reviewed and approved by the Parish Business Administrator before work is begun by any sub-contractor.
  • Supervise or manage sub-contractor during the performance of tasks.
  • Ensure that all preliminary permits, surveys, licenses, and certificates of insurance have been obtained prior to beginning work.
  • Ensure that all work and/or repairs have been completed in a satisfactory manner before approving payment to vendors.

Supervision of Maintenance Staff

  • Supervise all full-time and part-time employees as well as maintenance volunteers.
  • Train and instruct maintenance staff in general custodial tasks.
  • Oversee general repair work delegated to custodians.
  • Maintain the weekly custodian work schedule to ensure coverage during standard building hours and special events.
  • Provide clear instructions – written if possible – for those working on any maintenance task, ensuring safe practices.
  • Ensure that delegated repairs are completed in a timely fashion.
  • Develop daily cleaning and general maintenance protocols and ensure that custodians are doing the work specifically assigned to them.
  • Develop detailed work assignments for all maintenance employees and update as required.
  • Review and approve employee time sheets.
  • Participate in hiring decisions of maintenance staff.
  • Prepare and communicate year-end job performance reviews for maintenance staff.

Ensure Cleanliness of Facilities

  • Inspect all areas daily (perform daily walk through) to ensure that cleaning protocols are being followed and repairs have been made within required time frame.
  • Assist with cleaning and maintenance activities as needed and in the absence of any maintenance staff member.
  • Make certain the availability of maintenance staff during all hours of parish operation
  • Work with other parish and teaching staff and concerned volunteers regarding requests for maintenance and prepare work orders as necessary.
  • Have knowledge of the operation of floor care equipment such as floor scrubbers, burnishers, vacuums, and carpet extractors and be able to utilize this equipment in a safe and appropriate manner.
  • Have knowledge of cleaning materials and chemicals, and the safe use of all materials and equipment. Ensure compliance with proper labeling and usage protocols (OSHA).

Ordering of Maintenance Supplies and Parts

  • Ensure that all purchased parts and products are obtained in a cost-effective manner, ensuring that quality is not sacrificed for price.
  • Maintain appropriate inventory levels of such things as furnace filters, batteries, light bulbs, etc.
  • Maintain appropriate inventory levels of cleaning supplies, and replacement parts and other disposable items.
  • Monitor all maintenance product inventory to ensure its security; store it safely and securely to prevent theft.
  • Ensure that all invoices, order confirmations, and packing slips are turned into the accounting office in a timely manner.
  • Obtain and retain MSDS sheets for all chemicals used in the facility.

Maintenance of Parish and School Grounds

  • Have knowledge of proper and safe use of all power equipment.
  • Provide for the grass cutting, hedge trimming, and general landscaping maintenance and the removal of any dead vegetation using the lawn tractor, weed whip, and leaf blower as required.
  • Must be on campus for snow removal when appropriate to remove snow and to direct volunteers and custodians in the removal of snow.
  • Ensure the timely removal of snow from parking lot, walkways, and rectory and apply ice melting products as needed, using skid loader, tractor, snow blower, or shovel.
  • Service and operate all power equipment in a safe manner and according to manufacturer instructions. This includes lawn equipment, skid loader, and floor machines.

Special Event Set-up

  • Work with the facility calendar and room set-up request process in order to ensure availability of facilities as requested by each group using the facilities.
  • Provide for the set-up of various rooms and/or grounds as required for special events on the parish grounds and/or within the buildings.
  • Ensure availability of maintenance personnel at such times when required for major events and/or after events for clean-up.

Shift Coverage – Custodian on Duty

  • Provide custodial work in both Church and School areas as required each shift.
  • Serve in a back-up capacity when needed due to the absence of a custodian or when required to do so, including cleaning bathrooms and other areas as needed by mopping floors, emptying trash containers, and replenishing supplies.
  • Work occasional holiday shifts on a rotational basis with the other custodians and any other work shifts required by the Business Administrator.
  • Disarm and/or arm security systems.
  • Unlock meeting rooms for parish groups
  • Address any problems that may arise during the shift and take care of any parishioner needs when situations present themselves.

 Administration Responsibilities

  • Maintain an orderly filing system for all equipment manuals and repair records, vendors, work records, etc.
  • Advise Business Administrator of any equipment needs, repairs that need to be made, and recommendations involving systems and structures.
  • Participate in vendor request for proposals, and help with evaluation of vendor selection.
  • Develop cleaning protocols for each season and work with the impacted managers to communicate these plans.
  • Attend all required meetings and workshops.
  • Adhere to all applicable Archdiocesan, Catholic Mutual, and parish policies.

General Responsibilities:

  • Be present where needed, ready to work, and on time for all scheduled hours as needed to meet the responsibilities of the position. This includes recognizing when situations require more effort, putting in more time as needed, satisfying responsibilities in a timely manner, providing an example of punctuality and attendance.
  • Help to create and foster a productive environment where there is harmony, good morale, adequate communication and cooperative teamwork.
  • Ensure appropriate confidentiality in all matters.
  • Attendance at and participation in Parish Activities, including the Parish Fall Festival and Fish Fry’s as scheduled.
  • Work cooperatively and professionally with all staff members to ensure that the Pastor’s Vision and the Mission of the Parish are being followed.
  • Attend and be prepared for all required staff meetings and all-staff days.
  • Attend related training and seminars provided by the Archdiocese or the parish.
  • Foster healthy working relationships with peers in your field through sharing of ideas, tips, skills, within the parish.

Qualifications

General Qualifications:

  • Possess experience in plant custodial and/or maintenance work.
  • Have meaningful supervisory experience in a maintenance team environment.
  • Skilled in operating power equipment such as lawnmowers, snow blowers, skid loaders, tractors, and floor equipment.
  • Able to perform minor building and equipment repairs.
  • Must be responsible for carrying out high quality work that meets minimum safety standards and regulations. Demonstrate experience with safety regulations and codes.
  • Experienced in use of cleaning materials, procedures for cleanup and disposal of hazardous waste.
  • Experience in use of specific tools or implements required for the job.
  • Experience in methods and operations of scrubbing and cleaning.
  • Experience and knowledge of floor care.
  • Must have basic computer skills such as using e-mail, the Internet, and Microsoft Office.
  • Successfully complete standard Archdiocese background checks.
  • Successfully complete pre-employment physical as required by employer.

Mental and Physical Demands:

  • Be able to lift and carry 50 pounds using proper techniques.
  • Ability to walk up and down stairs.
  • Ability to bend, stretch, stand and walk for long periods of time.
  • Ability to physically perform the tasks as required, including but not limited to climbing ladders, changing ceiling light bulbs, washing windows.
  • Must possess a sense of order and an eye for detail, and have strong organizational skills.
  • Must be able to accept and complete all tasks and responsibilities assigned by supervisor, both written and oral, and work independently or with others to accomplish the tasks within allotted time.
