Description

The Financial Manager oversees the financial and accounting functions for the Parishes and St. Mary School. Guided by the core values of the Catholic Church, the Manager provides leadership and technical expertise to the Pastor, Business Manager, and various councils. This role requires a detail-oriented professional capable of managing complex accounting software, maintaining strict confidentiality, and multitasking with professionalism.

Status: Full-Time (35–40 hours/week)

Reports To: Pastor, Finance Council, and School Principal

Schedule: Mon–Thu (8:00 AM – 4:00 PM), Fri (8:00 AM – 12:00 PM). Occasional evenings and weekends required for meetings and events.

Qualifications

Essential Functions

Financial Management & Accounting

  • General Ledger: Maintain all cost centers in QuickBooks, including accounts payable/receivable and bank reconciliations.
  • Budgeting: Lead the development of annual operational budgets and 5-year strategic financial plans for the school and parish cost centers.
  • Reporting: Provide monthly YTD financial reports to the school and quarterly/semi-annual reports to the Parish Finance Councils.
  • Investments: Implement council-approved investment strategies and monitor endowments in coordination with the consulting accountant.
  • Compliance: Ensure adherence to Diocesan accounting policies, maintain tax-exempt status, and manage 1099 processing and raffle licenses.

 

 

School & Tuition Administration

  • FACTS Management: Manage all tuition and childcare contracts, including data entry, changes, and cash flow reporting.
  • Scholarships: Assist the Principal in writing grants, processing scholarship applications, and applying credits to tuition accounts.
  • Collections: Partner with the Principal on the collection process for delinquent accounts.

Payroll & Human Resources

  • Payroll Processing: Serve as the Subject Matter Expert for ADP Workforce Now, ensuring accurate timecard collection and GL batching into QuickBooks.
  • Benefits: Calculate and prepare retirement benefits and ensure all ADP-related invoices are split and paid correctly.

Parish Stewardship & Operations

  • Contributions: Oversee the counting and depositing of all funds. Manage the parish database for envelope and electronic giving.
  • Donor Relations: Ensure year-end contribution statements are mailed by January 31 and generate appreciation letters for special donations.
  • Annual Appeals: Coordinate with the Business Manager to track pledges and payments for the Catholic Services Appeal (CSA) and Stewardship Treasure Appeal.
  • Cemetery Oversight: Work with Sextants to file annual diocesan reports and ensure accountability of cemetery assets.

Qualifications

  • Education: Degree in Accounting or Business, or equivalent professional experience.
  • Faith: A practicing Catholic in good standing is desired.
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Publisher) and QuickBooks. Ability to master parish-specific software (FACTS, ParishStaq/PushPay, ADP).
  • Experience: 5+ years of related office or financial management experience.
  • License: Valid Driver’s License required.

Physical Demands & Environment

  • Work is performed in a busy church office environment.
  • Must be able to sit, stand, and walk frequently.
  • Occasional lifting/moving of up to 30 lbs (e.g., financial files or contribution boxes).
  • Requires manual dexterity for computer work and the ability to communicate clearly with parishioners and staff.
