Description

Saint Joseph Catholic Church is seeking a faithful, highly organized professional to serve as Faith Formation Administrative Assistant. This part-time position provides essential administrative and program support for the parish’s Faith Formation ministries, helping ensure that children, families, volunteers, and staff are well supported throughout the year.

The ideal candidate is a welcoming, detail-oriented individual who understands the mission of the Catholic Church and is energized by supporting families in their life of faith. This individual must be a strong communicator, highly organized, and able to manage multiple responsibilities while working both independently and collaboratively with parish staff and volunteers.

This is a part-time position of approximately 20–25 hours per week and may include benefits. Work hours are primarily weekdays, with occasional evening or weekend hours required to support Faith Formation programs and events. Because this role regularly interacts with parish families and volunteers, professionalism, hospitality, discretion, and timely communication are essential.

Faith Formation Responsibilities

  • Serve as an administrative point of contact for parish families participating in Faith Formation programs.
  • Communicate clearly and professionally with families through email, phone, mail, and other parish communication channels.
  • Prepare materials and provide administrative support for Catechesis of the Good Shepherd, sacramental preparation, Faith Formation programs, and special events.
  • Coordinate participant registrations, records, and program information.
  • Track attendance, sacramental requirements, and other participant information using the parish’s online database.
  • Maintain accurate and organized Faith Formation records and documentation.
  • Assist Faith Formation staff with scheduling, program logistics, correspondence, and preparation for events.
  • Provide responsive and welcoming assistance to parents, volunteers, catechists, and other members of the parish community.
  • Collaborate with parish staff and volunteers to support the effective administration of Faith Formation programs and events.

Protecting Children (VIRTUS) Responsibilities

  • Serve as the parish representative for Protecting Children (VIRTUS) compliance.
  • Help ensure that parish employees and volunteers complete required E3 certification and related safe-environment requirements.
  • Maintain accurate records regarding employee and volunteer certification and compliance.
  • Communicate requirements, deadlines, and necessary follow-up to employees and volunteers.
  • Monitor annual requirements and assist the parish in maintaining compliance with Archdiocesan policies and procedures.

 

Qualifications

Qualifications

  • Practicing Roman Catholic with an understanding of Catholic teaching, the sacraments, and the mission of the Church.
  • Strong organizational skills with careful attention to detail and follow-through.
  • Excellent written and verbal communication skills.
  • Ability to interact warmly and professionally with parish families, volunteers, staff, and ministry participants.
  • Ability to manage multiple priorities and maintain accurate records.
  • Proficiency with Microsoft Office Professional Suite and comfort learning and working within online databases and parish management systems.
  • Ability to work independently while also contributing effectively as part of a collaborative parish team.
  • Prior administrative experience is preferred; two or more years of administrative experience is a plus.
  • Ability to maintain appropriate confidentiality and exercise sound judgment when working with family, sacramental, and volunteer records.
  • Willingness to work occasional evening or weekend hours in support of Faith Formation programs and events.
