Description
The Aim Higher Foundation seeks a temporary Executive Support Specialist who will play a pivotal role in keeping the Aim Higher Foundation running smoothly. This person will: (1) support the President and leadership team in daily operations, and (2) oversee core administrative, financial, and operational systems. The role is ideal for someone who thrives in a small non-profit environment, is comfortable and trustworthy with financial duties, and enjoys taking care of office spaces.
POSITION DETAILS
- 10 to 15 hours weekly, onsite
- Tues to Thurs, 9a-1p
- Tentatively working through the end of 2025
KEY RESPONSIBILITIES
Office Operations
- Receive and organize all incoming mail and packages.
- Create a welcoming, appropriately resourced, and mission-focused environment
- Monitor and maintain supplies and materials.
- Be the friendly first point of contact for the organization; answer incoming phone calls and general inquiries.
Finance & Compliance
- Receive and enter invoices for processing.
- Support staff with receipt management for credit card charges and expense reimbursements, as well as reimbursement submissions.
- Process donations and coordinate with the team to handle acknowledgements with donors.
Executive Support
- Support the President with day-to-day administrative tasks as needed.
- Help prepare materials for Board and Board Committee meetings; ensure quorum is met and materials are distributed on time.

- Advanced proficiency in Microsoft Office, Google Workspace, bill processing, and other nonprofit software systems.
