Visitation School is seeking a full-time Donor Services and Database Coordinator.  The Donor Services and Database Coordinator is responsible for data systems, data integrity, and records management for the Office of Institutional Advancement.  This role is a full-time, 12-month, benefits-eligible role.

The ideal candidate for the Donor Services and Database Coordinator position will have a minimum of five (5) years of experience working in a comparable educational or non-profit environment and will have strong analytical and communication skills with exceptional attention to detail.  We seek someone with advanced working knowledge of computer and software applications including Microsoft Office,

G suite, and Raiser’s Edge.  A creative problem solver with the ability to develop and document solutions for increased efficiency in data management while also working collaboratively with the Advancement team and across departments.  

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Perform gift entry for all contributions.
  • Execute gift acknowledgement process. 
  • Create lists for appeals and mailings. 
  • Coordinate mailings for appeals and stewardship efforts, including endowed fund reports.
  • Provide monthly and ad hoc tracking reports for front-line fundraising programs.
  • Prepare lists for both the Annual Report Press Proof and the Annual Report.
  • Update constituent records to ensure all data in the system is “clean” which includes but is not  limited to: entering new families/students in Raiser’s Edge, inactivating or updating records,  coding deceased constituents.
  • Develop, manage and document processes and standards for consistent data entry to ensure  integrity of database.
  • Serve as staff lead for the matching gifts program.
  • Manage wealth screening and prospect research strategies to identify new donors to the school.
  • Conduct research on individual top giving prospects to assess engagement, capacity and inclination to support the school.
  • Manage Visitation’s brokerage account (Schwab) by monitoring stock gifts received and ensure that sales are made in a timely fashion, preferably on the same day as received.
  • Execute pledge reminder process.
  • In coordination with the Business Office, conduct monthly reconciliation of gifts and pledges. 
  • Responsible for monthly recollection reports for Business Office (Credit Card, EFT, Venmo, Paypal) 
  • Serve as lead contact and administrator for Blackbaud RE and, RE-NXT and other fundraising softwares as appropriate.
  • Advocate and encourage increased use of RE-NXT, including reporting, dashboards and other features. 
  • Ensure accurate use of RE database by IA team.
  • Plan and execute annual Mother’s Day appeal 
  • Support events sponsored by the department (Merrie Market, Reunion, Trustee Emeritus, etc.).
  • Other duties as assigned.
