Responsibilities
Finances
- Bookkeeping tasks – accounts payable / receivable, manage and report online giving platform (ACH electronic contributions), balance the books, and manage cash flow
- Budget – develop for approval and manage the Parish’s annual budget, endure alignment with strategic goals, and appropriately allocate resources to meet both short-term and long-term goals
- Prepare and submit the Annual Parish Financial Report followed, the annual Financial Statement to the Parish and the Archdiocese, and the year-end tax statements
- Ensure that Parish policies comply with Archdiocesan Internal Control Guidelines
- Prepare for and oversee Agreed Upon Procedures Review audits and follow through on implementation of recommendations
Human Resources
- Ensure compliance with all mandatory Federal, State, and Church requirements
- Lead annual benefit enrollment and ensure proper entry
- Provide proper job descriptions for all employees and update as necessary. Oversee the recruiting, hiring onboarding process, offboarding process, and annual performance review for Parish employees
- Maintain Parish personnel records
- Responsible for implementing and execution of various Risk Management policies and programs including Worker’s Compensation
- Stay current with annual salary survey and other Archdiocesan policy changes and periodically review and update personnel policies
- Supervise and support maintenance staff
- Enter and process payroll bi-weekly
- Manage external contractors and vendors, including IT
Office
- Respond to any legal or insurance matters including Catholic Mutual accident reporting
- Negotiate and review all contracts
- Oversee and monitor purchasing process for office supplies, postage, and equipment
- Coordinate the annual Archdiocesan and national collections
Buildings and Grounds
- Assure compliance with safety, security and environmental regulations
- Responsible for all contracts and maintenance agreements
- Negotiate bids when appropriate
- Plan and schedule work with minimal interruption to Parish activities and communicate any potential interruption to employees and community. Secure necessary permits.
- Support maintenance staff for follow through on special projects
- Monitor all rental agreements for parish property
- Oversee all security systems, including alarms. Maintain building access records, oversee distribution of parish keys, and assign security alarm codes. Work with Pastor and staff to ensure existing security policies and procedures are operative
- Respond to fire and security alarms as needed
- Maintain records of capital projects to determine future replacements
- Work with Finance Council on funding options for capital improvements
Communication/Liaison
- Information resource for Pastor, Trustees, staff, Finance Council, Parish Council, and Building & Grounds Committee
- Contact person for the Archdiocese
- Respond to and communicate with community leaders, City, State, and Federal government representatives for all inquiries
- Attend Finance Council meetings providing reports and updates and maintain the permanent meeting minutes records
- Attend Building & Grounds Committee meetings, bring plans for campus maintenance and improvements that ensure the appearance positively reflects and enhances the Parish in the community and maintain the permanent meeting minutes
- Join APBA (Archdiocesan Parish Business Administrators) and attend meetings
Salary range: $20 - $27 per hour
Qualifications
Qualifications
Post-secondary training and/or education in business or related field
Experience in financial management and accounting
Experience in supervision and human resources
Experience in property management
Experience with or willing to learn ParishSoft software
Experience with or willing to learn Microsoft Office tools – Publisher, Word, Excel, Outlook
Good oral and written communication skills
Ability to work independently on routine responsibilities
Desire to complete quality work
Collaborative style
Willing to work flexible hours when necessary
