Description
JOB BRIEF: The school secretary is the first point of contact for visitors and prospective families and a critical liaison between the school and current school families. You are the voice and face of the school. Understanding the value of being welcoming and creating an inviting culture is essential. Components that encompass this job include:
RECEPTIONIST:
- Answer phones and greet guests in a positive and welcoming manner
- Take messages from visitors and callers for the principal, teachers, other staff and students
- Transmit clear and accurately written messages
- Maintain a system of effective communication with all constituents
RECORDS MANAGEMENT AND FILING
- Oversee student attendance and end-of-day plans
- Maintain student records - New students, transfers, withdrawals, and cumulative files
- Oversee the record retention program for the school, seeing to it that records are retained for the time limit required by law and that old records are destroyed.
ADMINISTRATIVE SUPPORT
- Perform various office tasks as needed
- Assist in onboarding new staff, students and families
- Handle copier and phone maintenance
- Sort and distribute mail
- Prepare and complete school-related mailings
- Manage bussing details
- Assist with field trip planning
- Assist in the preparation of handbook, resource lists, and other forms and documents as directed by the principal
- Proof and distribute parent weekly communications and other communications as assigned
- Create spreadsheets, forms, lists, labels, etc.
- Other duties as assigned
Qualifications
REQUIREMENTS
- Self-motivated with a high degree of multi-tasking and time management capability
- Excellent written and verbal communication skills
- Integrity and professionalism; keep information confidential
- Proficiency in Google preferred
- People-oriented with the ability to remain calm under pressure
- Analytical problem-solver
- Strong organizational skills with attention to detail
- Adhere to the policies and procedures outlined in the St. Michael Catholic Church and School Employee Handbook and Parent/Student Handbook
- Articulate and promote St. Michael Catholic School’s mission
- Be able to sit/stand for extended periods, use a keyboard for long timespans, move freely throughout the building including the use of stairs, and lift up to 35 pounds comfortably
PROFESSIONAL DEVELOPMENT
- Participate in professional development to improve job-related skills as offered
- Engage in opportunities to enhance spiritual growth
QUALIFICATIONS
- Completion of an acceptable background check
- Complete VIRTUS training
- Prior office experience or relevant bachelor’s degree
- School-related experience preferred
