Description

The school secretary is the first point of contact for visitors and prospective families, and the critical liaison position between the school and current school families.  The duties of the school secretary are listed below:

Receptionist:

  1. Provide a cordial and professional contact with the parish and school staff, parents and students.
  2. Take messages from visitors and callers for the principal, teachers, and other school staff and school students.
  3. Transmit clear and accurately written messages.
  4. Maintain a system of effective communication with principal, staff, parents, and volunteers.

Office Manager:

  1. Perform various office tasks as needed and directed by the principal and staff.
  2. Maintain office supplies and order as needed.
  3. Prepare and complete school related email and bulk mailings that would include using mail merging, sorting, and mailing of documents.
  4. Assist with the deposit of funds, ensure all receipts, packing slips and invoices are turned into the parish business office in a timely manner, following established financial control procedures and policies.
  5. Sort incoming mail and distribute to staff daily as well as parish and school communication.
  6. Handle emergency situations when they arise in keeping with established procedures and guidelines.

Administrative Support:

  1. Assist in the preparation of the School Handbook, Curriculum Handbooks, and other forms and documents as directed by the principal.
  2. Communicate announcements in the absence of the principal.
  3. Provide support to the marketing director providing information to prospective parents and their children and give tours.
  4. Assist with ordering books, instructional materials and school-related supplies.
  5. Assist principal with processing and distributing of agendas, minutes, etc.
  6. Assist principal and marketing director with coordination and planning of school activities, open houses, receptions, and other events.
  7. Proof, copy and distribute parent newsletters and other communication items.
  8. Call or email parents daily regarding their student absences.
  9. Take care of sick students, administer minor first aid, and distribute medications in absence of school nurse.

 Filing and Record Management:

  1. Maintain daily record of student absences.
  2. Keep students’ files updated.
  3. Oversee the record retention program for the school, seeing to it that records are retained for the time limit required by law and that old records are destroyed or removed appropriately.

Administration Responsibilities:

  1. Attend all required meetings and All-Staff days.
  2. Maintain school calendar and schedule events and space with parish office.
  3. Work with the parish processes including budgeting, employment policies, etc.
  4. Work cooperatively with other staff members and departments to ensure the effective accomplishment of the mission of the parish and school.

Other responsibilities as assigned by the Principal.

Qualifications

Successful completion of background check

Willingness to abide by the employee handbook

Strong customer service skills

Proficiency in Microsoft Word, Excel, and Publisher

Excellent grammar and English language skills

Good organizational skills

Able to work independently to accomplish tasks within allotted time

Good communication and interpersonal skills

Ability to relate and communicate effectively with principal, school parents, pastor, and other staff members

Contribute to a positive working environment

Ability to maintain confidentiality
