Description

Position Summary:

The HR Intern will support the Human Resources department by assisting with auditing, organizing, and digitizing pension participant files and other administrative tasks. This role offers an excellent opportunity to gain hands-on experience in HR administration, particularly in employee benefits management, filing systems, and data processing. The intern will contribute to the efficiency of HR operations while learning about key HR functions, such as compliance, employee data management, and documentation.

Essential Functions of the Position:

  • Pension File Auditing: Audit lay pension participant files to identify individuals actively receiving pensions versus those who are still actively employed but pension-eligible.
  • Documentation Review: Review employee files to ensure accuracy, identifying discrepancies or missing information related to pension eligibility.
  • Filing and Organization: Sort and organize loose paper files, ensuring that all physical documents are properly categorized and stored.
  • Digitization of Files: Scan and convert physical documents into electronic files, ensuring that all scanned materials are clear, organized, and stored correctly for future use and easy retrieval.
  • Administrative Support: Provide general administrative assistance to the HR department, including additional filing, documentation, and other tasks as needed.

Signature Project:

The Signature Project for this internship will be the Audit and Digitization of Pension Files, with the goal of fully transitioning all paper-based pension participant records into a digital format. This will involve conducting an in-depth audit of all existing pension records, identifying key gaps or issues, and ensuring that all files are scanned and properly indexed. The intern will be responsible for documenting the progress of the audit and the final completion of the digital filing system. By the end of the internship, the intern will have completed a comprehensive project that will enhance the efficiency and accuracy of the HR department's record-keeping process.

Qualifications

Job Requirements (Knowledge, Skills and Abilities):

  • Strong attention to detail and ability to focus on repetitive tasks with accuracy.
  • Ability to maintain confidentiality and handle sensitive employee information with discretion.
  • Proficiency in basic office software (MS Office, Google Drive, etc.) and the ability to learn new digital systems quickly.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Ability to work independently with minimal supervision.

Job Qualifications: (Education and Experience):

  • Current student or recent graduate.
  • Interest in human resources, business administration, or related fields.
  • Prior experience in office settings, data entry, or filing is a plus but not required.

Physical Requirements:

  • Ability to sit for extended periods and perform repetitive tasks such as scanning and organizing files.
  • Ability to lift and move boxes of documents (up to 15 pounds) as needed.
