Description
Position Summary: The Parish administrator is responsible for the supervision and management of all financial activities, administrative functions, human resources, church office personnel, Parish facilities, and all related processes and systems for the Parish. Under the general direction of the pastor, the Parish administrator provides efficient and professional business and facility management leadership with the purpose of allowing the pastor maximum freedom to provide pastoral care to the Parish community. The Parish administrator directs these efforts within a framework of shared ministry and Catholic values consistent with the mission and purpose of St. Bridget Church and School and the Diocese of Superior.

Essential Duties and Responsibilities:
Administrative Responsibilities
- Serves as person in charge of Parish office in the absence of Pastor
- Directs the operation and effective practices of the Parish office
- Promotes and maintains a welcoming environment for all who visit the Parish office
- Maintains good working relationships and effective communication with all who have a vested interest in our Parish community
- Consults with and advises the Pastor and Principal on business and administrative matters
- Acts as a liaison between Parish ministries, committees and the Pastor
- Chairs office staff meetings
- Attend office, Parish and diocesan meetings as necessary
Financial Responsibilities
- Maximize cash management resources including grants, campaigns, Catholic Services Appeal (CSA)
- Oversee the annual budget in consultation with the accountant, Pastor, and Parish Finance council subject to approval by the Parish Council
- Oversee the management of all Parish operational and financial records
- Monitors the budgetary activities and compliance for all departments in conjunction with the accountant
- Ensures distribution and explanation of monthly budget reports, annual financial reports and presents to the Finance and Parish Councils and Parish as necessary
- Oversee the administering of payroll for Parish employees and act as a backup to the accountant
- Ensure that the Parish financial management practices and procedures are in full compliance with federal, state and local regulations and Diocesan policies and procedures
- Acts as a liaison between the Parish and the Diocese on financial matters
- Writes checks as needed or in the absence of accountant, working knowledge of QuickBooks
Personnel Responsibilities
- Participates in personnel hiring and termination process in collaboration with the Pastor
- Administers all Parish personnel and Diocesan policies, develops and reviews job descriptions, provides training as needed, manages personnel files
- Oversee the administration of salary and Diocesan benefit programs
- Supervise and perform annual performance reviews for all Parish core staff excluding Principal (Deacon evaluations completed in conjunction with the Pastor)
- Oversee the implementation of the guidelines and policies for Parish volunteers
- Manages internal staff conflict/issues including corrective action in a manner that is consistent with the mission and values of the Parish
Facilities Management Responsibilities
- Ensures the establishment and monitoring of preventive maintenance programs for all property and equipment
- Oversee maintenance, major repairs, and renovation of all Parish facilities
- Develop and administer policies and procedures concerning the use of all Parish properties and facilities
- Review bids and quotes and contract negotiations with outside contractors and vendors
- Coordinate security measures to protect property and personnel
- Regulate the timely opening and closing of the Parish office
- Maintains inventory of Church property and equipment and record of purchases
- Program the HVAC systems weekly for room use
Qualifications
Position Qualifications
- BA/BS in Business Administration, Parish Administration, Accounting or 5 years of equivalent experience in administration
- Proven record of leadership and at least three years of experience in Church/Parish with demonstrated proficiency in Parish management and human resources
- Knowledge of accounting principles (GAAP) and financial reporting
- Excellent interpersonal and communication skills
- Strong organizational and record keeping skills
- Appropriate technology knowledge and skills as dictated by the position, knowledge of Microsoft Office suite of tools
- Understanding of the Catholic Church and its current initiatives
- Willingness and ability to work collaboratively with the Pastor
